About the Role
Prevail Partners delivers strategic advice, intelligence, specialist capabilities, and managed services to clients ranging from governments and multinational corporations to non-governmental organisations across Europe, the Middle East, and Africa. We are seeking a Recruitment Administrator to play a key role in driving efficient, scalable, and high-quality in-house recruitment and people operations. Reporting to the People Director, you will provide critical support to the People Team by managing recruitment coordination, onboarding, workforce administration, and process improvement initiatives across the business.
The People Team operates outside the traditional HR Business Partner model, offering opportunities to support internal stakeholders across the business, contribute to projects, and develop broader HR skills within a collaborative and supportive environment. This is an excellent opportunity for someone ambitious to develop their career in Talent and HR.
This role is initially offered on a six-month fixed-term contract with potential for extension.
Key Responsibilities
- Coordinate and manage the full recruitment lifecycle across multiple vacancies simultaneously
- Partner with hiring managers and stakeholders at all levels, including creation of job descriptions and assessment processes
- Arrange and coordinate interviews, assessments, and candidate communications
- Manage job postings across recruitment platforms and internal systems
- Deliver a professional, responsive, and high-quality candidate experience throughout the hiring process
- Prepare offer documentation, contracts, and onboarding paperwork
- Conduct and manage pre-employment screening and compliance activities including references, right to work checks, and supporting documentation
- Manage contractor and employee lifecycle administration from onboarding to offboarding
- Coordinate onboarding documentation, vetting requirements, inductions, and system access requests
- Maintain accurate recruitment and workforce records using Workable and Factorial
- Manage contractor documentation and invoicing administration
- Track contractor end dates, renewals, extensions, and approvals
- Identify opportunities to streamline recruitment and onboarding processes through automation and AI-supported solutions
- Support continuous improvement of recruitment workflows, reporting, scheduling, and administration processes
- Contribute to scalable and data-driven people operations as the business grows
- Support HR administration, people initiatives, and project delivery across the People Team
- Produce recruitment reporting and hiring updates for the People Director
Experience
- 2–3 years’ experience within a high-volume recruitment or recruitment administration role
- Strong understanding of the full recruitment lifecycle
- Experience supporting onboarding and workforce administration processes
- Experience using Workable and LinkedIn Recruiter / LinkedIn talent tools is advantageous
- Experience using Factorial HRIS and Certn and/or another verification platform is desirable
- Experience within regulated, compliance-driven, security, government, intelligence, or defence sectors is highly advantageous
