Salary
c£27,622 to £32,497.30 per annum (inclusive of a 15% Flex fund which is fully pensionable) depending on skills and experience, plus a range of competitive benefits.

About the Role
As a Team Administrator at HS2, you will provide comprehensive administrative support to senior management and their teams, both internal and external. Your responsibilities will include shared diary management, managing and booking visits and travel within policy and budget, coordinating team meetings, and managing small projects to a high standard within budget and timescales. You will act as the first point of contact for internal and external stakeholders visiting the Old Oak Common work site, ensuring all administrative tasks are completed efficiently and to a high standard.

You will coordinate and manage visits and meetings, including collating agendas, taking minutes and notes, and managing required actions. Preparing and formatting briefing packs, meeting papers, presentations, and other documentation for senior management and departmental teams will be a key part of your role. You will update and maintain team, departmental, and directorate records, databases, and systems to ensure effective functioning.

Additional duties include gathering information, compiling reports, filing documentation effectively, tracking correspondence, drafting responses, managing travel requirements, providing ad hoc administrative support, and identifying opportunities to improve team and directorate functioning. You will actively promote and embed Equality, Diversity, and Inclusion (EDI) in all your work and support organisational initiatives, policies, and procedures on EDI.

Requirements

Experience
- Providing administrative support within a business environment
- Liaising with multiple internal and external stakeholders to coordinate outcomes successfully
- Using Microsoft Office products such as Word, PowerPoint, and Excel

About You
- Ability to complete various administrative tasks including visit management, travel booking, meetings, and team support
- Ability to prioritise workload and manage competing priorities effectively
- Ability to multi-task and manage multiple requests simultaneously
- Strong communication skills to engage with a range of stakeholders including senior leaders, managers, and staff
- IT proficient with Microsoft Office suite
