Description
Job Title: Personal Executive Secretary (PES) to the Regional Tribunal Judge (London SSCS) Pay Span or equivalent: AO Background The Regional Tribunal Judge PES position works within the judicial support and allocations team. This team provides important and fulfilling work supporting senior Judiciary. Please note that this is an office based role in Sutton, and there will be a requirement travel to central London up to once a week. This is an opportunity to gain transferable skills in new functions, learn from others and do so in a supportive team environment. Essential Qualities • Ability to treat sensitive information in the strictest confidence. • An ability to be flexible, prioritise work and strong organisational skills. • Ability to communicate effectively with judicial office holders, stakeholders and users. • Able to work in a fast-paced environment ensuring that deadlines are met whilst managing conflicting priorities and demands. • Excellent interpersonal skills. • Good knowledge of Outlook, Excel and Word. Key Responsibilities • Support the delivery of functions in the Social Security and Child Support Tribunal. • Provide the necessary secretariat support to the Regional Judge, including administrative, organisational and diary management functions. Duties • Managing RTJ diary and processing correspondence. • Confidential work for RTJ. • Answering and dealing with telephone calls. • Respond confidently and accurately to general correspondence, telephone queries, emails etc. to a high standard often without direction. • Drafting letters, updating spreadsheets, and maintaining accurate information. • Sending and responding to emails including managing the SSCSLonRTJoffice mail box. • Sending RTJ Circulars. • Running reports on outstanding statement of reasons to provide to RTJ/DTJs. • Admin support prior to and during panel member residential training events – various London locations. • Arranging meetings at the request of the RTJ, compiling agendas, and attending meetings to take minutes. These may occasionally be outside normal working hours. • Maintaining a B/F system. • Maintaining a filing system. • Ordering judicial stationery. • Maintaining local Judicial office holder's records. • Responding to Colleague / judicial queries. • Arranging suitable travel and accommodation in line with the relevant policy and budgetary constraints. • Triage / sending out of post tribunal / named judge files using tracker. • Managing RTJ annual leave records. • Familiarity with, or ability to acquire familiarity with, specialised internal databases. • Arranging the biannual regional Tribunal User Group (TUG) and taking the minutes. • Arranging the quarterly Regional Judge’s Board Meeting (RJBM) and taking minutes. • Deal with administration of retirements / resignations of JOHs. • Cover for DTJ PES when absent. • Reporting to a Band D Operational Team Leader. Other Duties The post holder is required to work in a flexible way and undertake any other duties reasonably requested by line management which are commensurate with the grade and level of responsibility of this post. Further information: Standard full time working hours are 37 hours per week. Whilst the roles are full time only, HMCTS operates a flexible approach to working hours to suit both individual and business needs.
