We are seeking a long-term Executive Assistant to partner closely with our Chief Marketing Officer (CMO) and Chief Product Officer (CPO). This role goes beyond traditional calendar management to deeply support strategic decision-making in both marketing and product functions. The CMO leads brand, growth, and communications, while the CPO drives product strategy and manages the Virtual Clinics business unit.
Your primary responsibility is to optimize the executives' time and focus, ensuring they are prepared and aligned with the company’s priorities. You will manage two complex, dynamic calendars, make proactive trade-off decisions, and maintain a reliable operating rhythm for both marketing and product organizations.
As AI and automation evolve, this role will shift from transactional tasks to strategic partnership—leading programs end to end, anticipating challenges, and solving ambiguous problems before they reach the executives. Reporting to the Chief of Staff, you will be instrumental in shaping how the CMO’s and CPO’s time is spent and how their teams operate.
Key responsibilities include managing executive schedules, preparing for high-stakes meetings, running leadership and planning cadences, drafting executive communications, supporting budget and vendor processes, and maintaining strong internal and external relationships. You will also lead company-wide events, workshops, and travel logistics, while continuously improving workflows through AI and automation tools.
Experience
- At least 4 years of executive support or comparable professional experience, including supporting VP+ leaders.
- Proven ability to work independently in a fast-paced, ambiguous environment.
- Exceptional organizational, record-keeping, and documentation skills managing multiple priorities.
- Strong writing and editing skills, able to draft memos and presentations in different executive voices.
- Experience in project planning and managing cross-functional initiatives.
- High emotional intelligence and discretion handling confidential information.
- Comfortable adopting and testing new AI and automation tools.
- Proficiency with Google Workspace or similar tools, plus Slack, Jira, or equivalents.
- Highly responsive to communication channels such as email and Slack.
