Description
Guy’s and St Thomas’ is among the UK’s busiest and most successful NHS foundation trusts. We provide a full range of hospital and community services for people in south London and as well as specialist care for patients from further afield including cancer, renal, orthopaedic, respiratory and cardiovascular services.
Guy’s is home to the largest dental school in Europe and a £160 million Cancer Centre opened in 2016. As part of our commitment to provide care closer to home, in 2017 we also opened a cancer centre and a kidney treatment centre at Queen Mary’s Hospital in Sidcup. St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital.
Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.
In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Our merger provides a once in a generation opportunity to build a lasting, world-renowned heart and lung centre, providing the highest quality care for patients and conducting world-leading research.

Job overview
The post holder will be required to ensure that the CAFM system is able to support and forecast work activities ensuring (with other senior managers) that resources match predicted work requirements at all times allowing activity to be undertaken in line with the requirements of SLA’s, SFG20, statutory, operational and organisational constraints. To act as the “in house” expert on the CAFM system, supporting departmental leaders and managers in ensuring that the system remains “fit for purpose”. To support operational managers in understanding and managing current and future demands in work activities.

Detailed job description and main responsibilities
· Support the Engineering Estates Manager, Building Manager, and other colleagues in managing and forecasting work activities (both Planned Preventative Maintenance and on demand work) to ensure that the requirements of SLA’s are able to be achieved.
· To undertake day to day “operational” management of the CAFM system to allow planned preventative maintenance activities to be timed to take into account accessibility constraints, labour availability as well as required completion dates with due consideration to SLA, statutory requirements and impact on long term plan.
· To provide a long term look forward at expected activity and provide forward planning summaries to operational managers. This includes 5 yearly, annual, next quarter, monthly and weekly plans.
· To provide critical and key service users with forward maintenance plans of activity and access requirements for their respective areas on an annual, quarterly, monthly and weekly basis.
· Responsible for the training of admin, management and operation staff in respect of the specialist Computer Aided Facilities Management system (CAFM)
· Development of a comprehensive auditing system
To support the transference of good practice (at all levels) between the various sites ensuring that the Essentia engineering service can demonstrate a path of continuing improvement and the maintenance and improvement in quality.
Financial accountability
· The post holder will be responsible for authorisation up to 5k.
· To act as the initial conduit for information exchanging between the operational and financial management teams.
Duties and Responsibilities
The post holder will be responsible for the day to day administration of the CAFM system within the operational engineering hub. This will include but is not limited to the following: -
· Supporting the Engineering Estates Manager, Building Manager, and other colleagues in managing and forecasting work activities (both Planned and on demand) to ensure that the requirements of SLA’s are able to be achieved

· To provide a long term look forward at expected activity and provide forward planning summaries to operational mangers. This includes 5 yearly, annual, next quarter, monthly and weekly plans.
· To provide critical and key service users with forward maintenance plans of activity and access requirements for their respective areas on an annual, quarterly, monthly and weekly basis.
· To ensure that materials required for planned maintenance activities are ordered collated and available for collection by the in-house maintenance team at the time the works are planned to take place.
· To ensure that the CAFM system remains able to provide evidence to the various assurance and governance arrangements within Essentia and the Trust relating to “on demand” or “planned preventative maintenance” activities undertaken by the in-house team, contractors or other service provider.
· Assist in developing a ‘centre of excellence’ approach to services to ensure a sound platform on which Essentia can offer these services to a growing NHS client base
· Ensure that communication is a two-way process, which should encourage feedback and generation of good ideas, better involvement and help to create a strong sense of common purpose within the CAFM team.
· Ensure regular open meetings and a consistent method of communication with senior management, across all disciplines and professional boundaries.
· Present information on multi-faceted projects to Trust and other staff at Board and senior management level. Be able to present financial, contractual, technical and other information with respect to operational, maintenance and engineering projects.
· Provide advice on Estates matters and the condition of the Estate, as required.
· To ensure an audit process exists and is operated for monitoring legislative site processes.
· To provide information and data to the Performance, Planning and Quality Manager with accurate and timely information appertaining to engineering systems and infrastructure as well as team activities and progress and delivery data to enable routine reporting to be undertaken.
· Carry out all relevant feasibility studies. Analyse complex data and prepare the information for presentation to a technical and non-technical audience

Person specification
Qualifications and Education
Essential criteria
Educated to degree level additional in depth professional training and specialist knowledge in an engineering and construction discipline, performance and staff management acquired through training and experience over an extended period of time.
Health & Safety qualification (IOSH Managing safety) or equivalent
Evidence of continuous personal and professional development
Desirable criteria
Technical courses (i.e. Water, Gas, Asbestos, Electrical, Building and CDM Regulations, Control of Contractors etc.)
Professional membership of related institution e.g.CIBSE/CIOB/MRICS
