About the Role
We are seeking a proactive and highly organised Facilities & Operations Assistant to support the day-to-day operations of our London Facilities team. Reporting to the Global Facilities Director, you will play a key role in ensuring smooth facilities administration, financial processes, and operational coordination across the London office. This varied role combines facilities administration, supplier management, financial support, and project coordination. You will collaborate closely with colleagues across Facilities, Finance, FT People, Health & Safety, and external contractors to deliver an excellent workplace experience and support operational efficiency. Key responsibilities include providing administrative support across Soft Services, Hard Services, and Facilities Projects; managing the Facilities Helpdesk and coordinating with suppliers; supporting onboarding of new Facilities suppliers and contractors; handling purchase orders and invoice receipting; producing management reports and analysis; coordinating Facilities team meetings and events; supporting onboarding and offboarding of Facilities team members; liaising with internal partners to ensure compliance; providing programme administration for Facilities projects; maintaining Facilities intranet pages; and assisting with ad hoc operational projects as required.
Experience
Previous administrative experience ideally within Facilities Management, Operations, or a similar environment. Experience supporting financial administration including purchase orders and invoice processing is essential. Experience supporting facilities or workplace projects and previous Facilities Management function experience are desirable.
