About the Role
Balfour Beatty has an exciting opportunity for a Senior Administrator to join our outstanding Major Projects team working on the Old Oak Common development in London – the largest construction project in the UK. HS2’s new c. £1 billion Old Oak Common station will become the UK’s best-connected rail station once completed. Our Balfour Beatty VINCI SYTRA joint venture is responsible for the final design, construction, and commissioning of the station in Northwest London. Upon completion, the new station will feature six underground platforms and up to eight platforms on the adjacent Great Western Main Line. Old Oak Common will provide high-speed rail services to the Midlands, central London, Scotland, and the North, as well as direct services to three major airports. Incorporating passenger and retail facilities, the new station will deliver an exceptional customer experience for passengers and visitors alike.

You will play a key role within the MEPFC services team. Managing a large volume of documents, drawings, and correspondence is essential to delivering the Mechanical, Electrical, Public Health, Fire, and communications systems, as well as lifts and escalators. The team supports multiple subcontractors, and administration of document tracking and transfer between subcontractors is fundamental to project progress and delivery. You will be central to the receipt and transmittal of all documents, responsible for communicating weekly correspondence movements to the MEP team and chasing timely responses. The role includes producing tracking documents, monitoring progress, and reporting.

Requirements

Experience
Proven competence in Excel and experience creating and managing spreadsheets. Familiarity with document control systems is essential. Previous experience working in a collaborative and challenging environment is highly desirable.

You must be a capable and confident communicator, comfortable working in an open, challenging, and collaborative environment. Strong organisational skills and attention to detail are critical to managing document flow and supporting multiple subcontractors effectively.

Qualifications
Relevant administrative or project support qualifications are advantageous but not essential. A positive attitude, willingness to learn, and ability to work within a fast-paced major projects environment are key.
