St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital. Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions. Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients. In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Job overview This is not a typical NHS role, it is an exciting opportunity to provide professional services leadership to our new medical training programme: the Fellowships in Clinical AI. T hese fellowships are the first of their kind in the UK, and possibly the world, so it is an exciting time to join and help to shape the delivery of the programme. The Fellowships in Clinical AI are for healthcare professionals who want to develop expertise in Clinical Artificial Intelligence (AI) in an integrated pathway alongside their specialty training or existing role. Cohort’s run for 12 months from August to August and the post holder would lead on and refine our processes and expand the programme. It is essential that you are organised and delivery-focused, with a strong programme management background. You will have good experience of gathering, interpreting and presenting data to demonstrate impact. Experience of matrix working would be a benefit as the programme will be working across Trusts, NHS England, HEE Postgraduate Medical Education Deaneries, and with a multidisciplinary team. Main duties of the job The role involves developing and managing the strategic direction of a fellowship programme across the NHS in England, Wales, and Scotland. Responsibilities include designing and improving recruitment processes, managing data systems, and leading the creation of policies that ensure smooth operations. You’ll lead on the governance and feedback mechanisms to ensure continuous programme development, working with multiple NHS organisations and key stakeholders. Additionally, you’ll promote equality, diversity, and inclusion, and oversee events such as masterclasses and graduation ceremonies. You will serve as the key point of communication for stakeholders, regularly reporting programme progress, financials, and deliverables to funders. A vital aspect of this role is developing and implementing communication strategies that ensure effective stakeholder engagement and coordination. This includes leading marketing initiatives for recruitment, managing the programme’s online presence, and supporting the personal and professional development of fellows in Clinical AI. You will oversee the programme’s £2.4M budget, ensuring efficient spending, compliance with financial governance, and sustainability through innovative funding models. Your role also includes managing contracts, procurement, and financial risk. Additionally, you will handle the recruitment and ongoing HR needs of fellows, ensuring smooth onboarding, performance evaluations, and career development opportunities. Working for our organisation You will be a part of a very small Fellowship Faculty achieving very big things. The NHS Fellowship in Clinical AI was started from within Clinical Scientific Computing department and is currently in it's 3rd year, growing from London-only Fellowship with 11 fellows to a national programme supporting 26 fellows in most of the regions of the UK. The tightly-knit faculty organises the funding, the project, the fellow recruitment and the fellow learnings throughout the year. You will play a role in all of these activities in helping support, coordinate and deliver the growing education programme. You will attend educational workshops with the team and have opportunities to contribute to team work and team strategy. Detailed job description and main responsibilities 1. Programme & Information Management 1.1. Formulate long-term strategic plans for the fellowship programme, managing complexity and uncertainty and with impact across the whole NHS in England, Wales and Scotland. 1.2. Lead on and influence set up and design, supporting strategic development of the programme 1.3. R esponsible for design, improve, and manage processes for the programme including recruitment of the next cohort 1.4. R esponsible for design and implement online feedback forms and mechanisms to capture information from applicants, participants and trainers for all modules to decide the governance structure. 1.5. Responsible for identifying, implementing, and tracking deliverables. 1.8. To proactively lead on the promotion of equality, diversity & inclusion across the Programme. 1.9. Strategically design monitor and maintain project information management systems 1.10. Create and maintain data collection systems that will provide accurate and timely data, including quantitative and qualitative data. 1.11. Design, create and maintain databases required by the project. 1.12. Create, design and implement improvements to programme and process based on feedback from multiple sources including formal evaluation 1.13. Interpret policies and protocols to support the project that are consistent with Trust standards. 1.14. Plan and execute events including monthly masterclass, Inductions and Graduation 1.15. Identify need for, create, maintain and update policies covering critical areas such as eligibility, travel, notice of termination, and financial governance, working with relevant teams (including HR and Finance) in multiple NHS organisations across England, Wales and Scotland to coordinate activities across a semi-decentralised fellowship funding model as well as facilitating placements of over 30 fellows. 1.16. Analyse existing policies across local Trusts and national NHS environments to identify gaps and address emerging challenges in Medical Education in Clinical AI. 1.17. Collaborate with healthcare professionals, deans, sponsors, policymakers, and regulatory bodies to ensure policies align with organisational goals and industry best practices. 2. Communications & Stakeholder Management 2.1. To report progress of the Programme to the funder on a regular basis, including submission of deliverables, periodic and final reports, summaries of progress, reports on use of resources, financial statements and drafting documentation and reports as required, ensuring that all reporting is submitted on time and using the required format. 2.2. Ensuring highly complex information is presented effectively 2.3. Lead on and design of strategies to liaise between stakeholders and ensure seamless communication of administrative and financial information to all stakeholders. 2.4. To champion the programme across the stakeholders, to ensure maximum awareness. 2.5. Ensure the Programme connects to other sources of support and training relevant to programme participants, such as the King’s College London UK Research & Innovation (UKRI)-funded training programme 2.6. Develop sitemap, design pages, project manage and implement updates the website with marketing material regarding the Programme, as well as participant registration and information. 2.7. Develop marketing and comms plans for recruitment drives. 2.8. Line management of Project Support Officer and other team members as appropriate. 2.9. Design and implement training and development programmes tailored to enhancing the competencies of fellows in Clinical AI. 2.10. Provide support and guidance to fellows, supervisors, staff and other stakeholders. 3. Financial management & reporting 3.1. Create spend profiles and manage the Fellowship budget (£2.4M before Cohort 3 Income) to ensure best value for money, including signing off invoices, monitoring expenditure and providing budgetary reports. 3.2. Assessing, reporting and escalating financial risk 3.3. Lead on the commissioning and procurement of products, equipment, services, systems and facilities, as required for the delivery of the project. 3.4. Create and lead on the management of contracts, specifications for tenders and awarding of new contracts. 3.5. Responsible for monitoring expenditure and provide regular, relevant financial management information to the Fellowship Lead and Director as requested. 3.6. Create process for, and manage complex recharging arrangements across multiple organisations. 3.7. Develop funding models and charging schemes for financial sustainability. 3.8. Implement financial governance policies ensuring compliance with regulatory requirements. 3.9. Participate in financial oversight, including budgeting and reporting, to optimise programme effectiveness and resource allocation. 4. Human Resources 4.1. Management of the entire Fellowship function 4.2. Design, Plan, Coordinate and execute recruitment cycles 4.3. Design and managed a comprehensive range of HR services, from role advertisement to onboarding and ongoing support for fellows. 4.4. Orchestrate entire recruitment process for fellows, addressing staffing needs, performance evaluations, and career development opportunities within the organisation and the wider NHS landscape. 5. General 5.1. Strategically vision, plan, design, develop and implement all processes. 5.2.
