Description
Guy’s and St Thomas’ is among the UK’s busiest and most successful NHS foundation trusts. We provide a full range of hospital and community services for people in south London and as well as specialist care for patients from further afield including cancer, renal, orthopaedic, respiratory and cardiovascular services.
Guy’s is home to the largest dental school in Europe and a £160 million Cancer Centre opened in 2016. As part of our commitment to provide care closer to home, in 2017 we also opened a cancer centre and a kidney treatment centre at Queen Mary’s Hospital in Sidcup. St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital.
Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.
In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Our merger provides a once in a generation opportunity to build a lasting, world-renowned heart and lung centre, providing the highest quality care for patients and conducting world-leading research.

An exciting opportunity has arisen for a Band 4 Team Leader working in Theatre's, Anaesthetic and Perioperative medicine team, St Thomas'.
This is an excellent opportunity for those looking to develop their experience and skills in administration and people management. We are looking for a strong leader, someone who is highly organised person and able to prioritise a busy workload in a demanding environment whilst performing well under pressure.
The post holder is responsible for guiding and supporting a team of administrative staff members to achieve organizational goals, while also nurturing individual growth and fostering a positive and collaborative work environment.
The successful candidate will have strong communication skills, attention to detail and be proactive to achieve desired outcomes.
The role requires the ability to liaise confidently with all disciplines of staff, patients and visitors.
Main duties of the job
Main Duties
Provide administrative support within the service, including cross cover for administrative team members as required, including deputising for the Assistant Service Manager for short periods of time.
Providing support, supervision and leadership to the Band 3 administrators.
Provide advice and support to new or less experienced employees on own administrative duties.
Maintain departmental databases in a timely and accurate manner. Assist with the collation of data as required.
Undertake any other reasonable duties necessary to ensure the smooth running of the service.
Supporting the ASM and the SM with ad hoc tasks
Maintaining staff rotas to cater for the weekly rotation of staff across 3 reception desks.
Managing sickness, organising absences, as well as other relevant formal procedures.
Communication
Confidently deal with enquiries from patients, staff and visitors in a courteous, efficient and tactful manner referring to appropriate staff when necessary.

Detailed job description and main responsibilities
The duties and responsibilities listed below are representative of the Administrator Team Lead role and its purpose within the service; they are not exhaustive and the post holder may be required to undertake additional or alternative administrative and managerial duties and responsibilities commensurate with the level of the post, to support the smooth running of the service.
Maintain effective information management systems, including databases and filing systems, ensuring both accessibility and confidentiality
Responsible for adapting and maintaining information systems, comprising both paper-based and computerised documents ensuring accessibility and confidentiality of information. To include the use of databases.
Undertake data entry where necessary.
Post holders must maintain the confidentiality of information about patients, staff and other health service business in accordance with the Data Protection Act of 1998. Post holders must not, without prior permission, disclose any information regarding patients or staff. If any member of staff has communicated any such information to an unauthorised person those staff will be liable to dismissal. Moreover, the Data Protection Act 1998 also renders an individual liable for prosecution in the event of unauthorised disclosure of information.

All staff must comply with information governance requirements.
