Description
Guy’s and St Thomas’ is among the UK’s busiest and most successful NHS foundation trusts. Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.

Job overview
The post holder will provide support for the UGME Stage Coordinator in programme management, coordination and administrative tasks for undergraduate education
programming at GSTT. The post holder is responsible for initiating, organising and managing the necessary Trust wide and local arrangements to ensure the delivery of high quality undergraduate education.
The post holder will be responsible for all Undergraduate Education information management and administration process, organising and planning complex activities and programmes, working under minimal supervision when making decisions and judging a range of facts and
situations.
The post holder will be based within the Undergraduate Department but required to work on both St Thomas’ and Guy’s hospital sites. The post holder will work independently in response to changing needs and circumstances, often within tight deadlines, and must have
the ability to concentrate despite frequent interruptions. The post holder will be expected to exercise initiative, prioritising conflicting work demands, and to efficiently communicate verbally and in writing, with a wide range of internal and external colleagues, exercising tact
and diplomacy.
Main duties of the job
Coordinate and oversee the undergraduate Medical Education
Support students with academic and administrative enquiries.
Manage Curriculum development and implementations.
Organise scheduling, logistics and events related to the programme.
Maintain student records and ensure compliance with accreditation standards.
Collaborate with faculty to enhance teaching efforts and communication.
Assist in stakeholder engagement activities.

Department Information
Guy’s & St Thomas’ NHS Foundation Trust is one of the largest teaching hospitals in the UK.
GSTT works in partnership with the MBBS programme at King’s College London to deliver
high quality undergraduate medical education over our two hospital sites, Guy’s Hospital and
St Thomas’ Hospital. The two sites host over 800 students a year from the KCL program.
Detailed job description and main responsibilities
Course administration and resourcing
• Act as the first point of contact for the undergraduate teaching programmes; to be present
when a course is being delivered; handling course matters and enquiries in person, via
email and telephone in an effective, courteous and timely manner using initiative & taking
appropriate action. This will either be Years 2/3 (Stage 2) or Years 4/5 (Stage 3) and will
include activities at both Trust sites
• Coordinate the logistics required for the physical delivery of courses, including booking
training rooms, providing equipment and teaching materials for teaching where
necessary.
• Liaising with, and feeding back to Lead Faculty and Stage Coordinator, ensuring all
resources required to deliver courses have been sourced internally or externally and
providing support on the day.
• Preparation and circulation of course materials, including handouts, attendance records
and evidence of participation, evaluation frameworks and feedback mechanisms.
• Ensure all course participants, including students and trainers, are well informed and
supported, including the development and circulation of relevant information to all parties
pre and post course delivery.
• Troubleshoot problems within teaching firms on the GSTT sites and facilitate effective
solutions
• Support the delivery of a quality assurance and improvement programme for
undergraduate education, including measuring activities against quality standards through
the collection, analysis and reporting of appropriate data, including recommendations for
change across multiple services or sites
Information and Database Management
• Coordinate the collection, collation and analysis of data on the provision of education
within GSTT in order to inform and contribute to strategic planning and decision making,
including performance data for the purposes of quality assurance processes
• Create and maintain an accurate database and audit of programmed teaching activities
from consultant job plans at GSTT, and run various reports and queries from this
database as requested and required
• Maintain up to date information about undergraduate education at GSTT, including
contacts and an accurate record of current activities
• Develop and maintain the undergraduate education pages of the Trust intranet and
external website
• Maintain the GSTT subpages on the KCL e-learning platform (KEATS)
Other
• Organise, attend and minute the Trust Undergraduate Education meetings
• Provide further administrative support as required to the Undergraduate Medical
Education Manager, Director of Undergraduate Education and Head of Medical Education
Programmes.
Course Development and Promotion
• Working jointly with multi-professional colleagues at KCL, and being led by the
Undergraduate Clinical Skills Lead and Undergraduate Simulation Lead to assist in
the implementation of new simulation and clinical skills courses and related initiatives.
• Develop action plans to improve service provision in response to feedback.
Reporting
• Develop and maintain a database of teaching resources, including faculty and
consumables.
• To attend and minute regular undergraduate teaching related meetings.
Other
• To undertake other duties not covered in this job description to ensure the smooth
running of the undergraduate simulation programme and deemed appropriate to the
post holder’s grade and level of responsibility.
• To ensure that all students follow the departmental protocols, procedures and policies
when engaging with the centre. To make suggestions regarding any policies or
procedures that may require amendment or updating as required.
• To be responsible on occasions for opening/locking up, and securing the various
venues of the courses

• To attend study days and training as deemed appropriate to the grade and nature of

NVQ Level 3 in Business and Administration or equivalent experience.
