Description
Guy’s and St Thomas’ is among the UK’s busiest and most successful NHS foundation trusts. We provide a full range of hospital and community services for people in south London and as well as specialist care for patients from further afield including cancer, renal, orthopaedic, respiratory and cardiovascular services.
Guy’s is home to the largest dental school in Europe and a £160 million Cancer Centre opened in 2016. As part of our commitment to provide care closer to home, in 2017 we also opened a cancer centre and a kidney treatment centre at Queen Mary’s Hospital in Sidcup. St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital.
Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.
In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Job Overview
The Workforce Development Administrator will provide administrative support to the Workforce Development team and ensure appropriate office systems are in place, and developed, to meet changing service requirements. This will include document control and file management for the team. Initiative and independent judgement are essential as the post holder will need to make decisions in order to facilitate effective working practices and assist with a wide range of tasks including project work and administrative tasks.
They will manage and maintain complex relations with candidates, service users and training providers, as well as provide administrative support to the team as required. They are responsible for general promotion of training programmes with the expectation of supporting the coordination of recruitment and promotional events in and outside the Trust.
Main duties of the job
Duties and Responsibilities
Administrative
Word processing of letters, reports, strategy and policy documents and papers including the development and creation of spreadsheets, using Word, Excel and PowerPoint as required and also creating posters, notices and leaflets to support corporate events.
General office management to ensure appropriate administrative support is provided to the team. Creating and maintaining office systems, including the organisation and control of files, databases, spreadsheets and archiving of expired release documents.
Leading on specific projects, for example, compiling and monitoring programme or provider evaluation.
Arrange and coordinate meetings and booking required facilities
Processing payments on the SMART order system and dealing with payment / invoice queries
Deal regularly with confidential and often complex information that is received and discussed by the Training Department; relating to staff personal and performance data.
Deal with and respond to initial general enquiries received by email, telephone or via the website.
Ability to use own initiative in managing workload without direct supervision.
Ensure quality and information management systems are effectively managed.
Coordinate the distribution of ET&D information throughout the Trust in targeted areas.
To provide administrative support, where required, to the Education Council and its Sub-committees

The Education Training and Development (ET&D) department is part of the Trust’s Workforce Directorate. The department’s ethos is one of continuous improvement and development. By constantly seeking to improve ourselves and our service, we aim to support the improvement and development of the Trust and its tripartite mission – patient care, research and teaching. The ET&D service leads on pan-trust training and learning solutions to support clinical and corporate governance, as well as facilitating individual professional and personal development. ET&D also plays an important role in the governance and evaluation of education, training and development across the organisation, ensuring the development of staff is aligned to Trust objectives.
All ET&D staff are expected to develop areas of expertise as well as possess generic knowledge and skill base; that means they can deliver and provide support across a range of the department’s functions.
