About the Role
We are looking for a confident Office Manager with a passion for delivering outstanding care. You will be making a positive difference to the lives of the people in our care at Cygnet Hospital Harrow, which provides a recovery-focused service treating a wide range of mental health problems. The hospital also offers specialist diagnostic, assessment and inpatient services for individuals with mental health needs and dual diagnosis of autism spectrum disorder.

The role involves providing managerial and administrative support by managing the day-to-day functions of the administrative services. You will provide line management and supervision for admin roles including Reception, Medical Secretaries/Ward Administrators, and Accounts Administrator.

Main duties include:
- Overseeing the Administrators within the Hospital
- Deputising for the General Manager as required
- Covering administration roles as necessary
- Collating the On-call rota/s
- Monitoring staff performance in accordance with Cygnet’s policies and procedures
- Preparing agendas for Head of Department meetings, attending and taking minutes
- Developing, implementing and reviewing local and Cygnet procedures
- Ensuring adequate cover for periods of leave within the administration department
- Assisting in business development and marketing activities
- Investigating performance and conduct issues according to company policy
- Overseeing stationery supplies
- Minute taking for complex meetings
- Working on own initiative and meeting deadlines
- Reporting primarily to the General Manager, with some accountabilities to the Hospital Manager and Clinical Manager
- Using a range of software including email, spreadsheets and databases
- Promoting staff development and training
- Ensuring meeting rooms and training rooms are set up according to conference requests
- Assisting in the finance function of the Hospital

Requirements

Experience
Previous experience in office management or administrative supervision is preferred. Experience working within healthcare or mental health settings is advantageous.

About you
Flexible, organised and able to prioritise workloads effectively. You are calm under pressure and able to work on your own initiative. You have strong written and verbal communication skills, excellent attention to detail and interpersonal skills. You are highly proficient in Microsoft Excel, Word, Outlook, PowerPoint, Access, Windows and internet use.

Qualifications
Relevant qualifications in office management or administration are desirable but not essential. A willingness to undertake further learning through Cygnet’s apprenticeship scheme is encouraged.
