St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital. Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions. Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients. In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Our merger provides a once in a generation opportunity to build a lasting, world-renowned heart and lung centre, providing the highest quality care for patients and conducting world-leading research. Job overview We are delighted to be in a position to advertise for a full-time Admin Team Leader within the Universal Services Team, part of Evelina Community Services. The successful candidate will be responsible for a team of administrators who process client records within Universal Services. This includes working with 0-19 services (Health Visiting, School Nursing, Brighter Beginnings and Safeguarding) to provide an efficient and safe service for our service users. Main duties of the job You will be key to the smooth running of the team. You will coordinate all aspects in the area of new births and bloodspot screening, and the transfer of records in and out of our service. , you will oversee a shared inbox, and will play a fundamental role in managing the daily operations of the team and liaising with management. You will demonstrate the ability to work efficiently, supervising and supporting colleagues, setting up and supporting admin systems as well as managing some performance data collection and monitoring. You have strong working knowledge of computer systems and databases, in particular Excel and Outlook and consistently demonstrate high levels of accuracy and attention to detail. You are able to demonstrate the ability to multi-task, be highly organised, adaptable, motivated, reliable, willing and able take personal responsibility. You will be proactive with a “can do” attitude and a commitment to high quality performance. You will be in possession of good written and verbal communication and administration skills with the ability to work flexibly within a fast-paced, challenging environment. You are able to demonstrate working to deadlines and maintain a professional courteous service in a sometimes-pressured environment. Working for our organisation The Evelina London Community Services provides a comprehensive range of Universal and Specialist Services to children and Young Adults in Lambeth and Southwark. As well as health centres, we also provide services in schools, community buildings, in patients' homes, and occasionally in hospital. We work in partnership with GPs and other healthcare professionals, social workers, children’s centre staff and voluntary agencies to support families. We also play a key role in safeguarding children and child protection. Detailed job description and main responsibilities Main Responsibilities Lead the provision of a high quality, comprehensive and efficient administrative service. Act as the first point of call for a wide range of staff i.e. Clinicians, Nurses, and administrative colleagues, as well as third parties. Responsible for the day-to-day management of the team and ensure that that staff are managed in line with Trust Policies Provide administrative support within the service, including cross cover for administrative team members as required. Review and report on staff performance, working with individuals to set clear standards and objectives, identifying training and development needs as well as performance/conduct issues as appropriate. Motivate and support staff so that they understand the objectives of the service within which they work and are able to maximise their contribution to the highest standard of patient care. Maintain departmental databases in a timely and accurate manner. Assist with the distribution of data within the team as required. Prepare and produce reports/spreadsheets and other documents as requested. Support in the implementation of projects, with minimal supervision to agreed goals and agreed timescales. Undertake any other reasonable duties necessary to ensure the smooth running of the service. Person specification Education/ Qualifications Essential criteria Good general education with English and Maths to GCSE standard or equivalent (grade C or above) NVQ level 3-4 Business Administration or equivalent experience Evidence of some formal further training in short courses, experience of a range of admin practices and with significant experience of healthcare administration Skills/ Knowledge/ Ability Essential criteria Proficient in use of IT systems and applications, including Microsoft Word, Outlook and Excel Ability to work as part of a team as well as using own initiative Excellent organisational skills and attention to detail Confidence in making decisions when dealing with competing priorities Able to demonstrate excellent written English including grammar, punctuation and structuring written text Ability to work methodically in a busy environment and meet deadlines Ability to develop and maintain good working relationships with all levels of staff Ability to handle confidential and sensitive information appropriately Desirable criteria Demonstrable problem-solving skills Experience Essential criteria Extensive business administration experience which demonstrates the understanding of the key functions to providing an admin support service Experience working in a customer service setting Experience in leading a team Guy’s and St Thomas’ celebrates, respects and values the diversity of its staff and patients.
