About the Role

The Trust includes five well-known hospitals and community services, delivering clinical excellence, research, and innovation. The post holder will be responsible for day-to-day administration within the Service, acting as the first point of contact for patients and service users, with detailed knowledge of outpatient and inpatient scheduling procedures for their speciality. Working closely with clinical and managerial staff, the role ensures patients receive timely care and national targets are met.

The role involves providing efficient, high-quality secretarial and administrative support to consultants and clinical teams, managing hospital administration systems, processing patient referrals and results, and handling enquiries from patients and GPs. The post holder will work in a busy multidisciplinary team environment, dealing with complex and sensitive issues, often requiring independent judgement. Responsibilities include maintaining accurate patient information, supporting clinic and theatre bookings, attending meetings, managing correspondence, and ensuring smooth departmental operations.

Requirements

Experience
- Proven experience in an administrative role demonstrating competent data collection and data quality
- Experience working with confidential documents and information
- Experience in a customer-focused environment, able to handle difficult customers and challenging situations
- Knowledge of key waiting times targets including 18 weeks is essential
- Experience of NHS administrative procedures is desirable
- Experience managing distressed, anxious, or angry patients/relatives is advantageous
- Experience in database maintenance is desirable

About you
- Excellent communication skills, able to relate to diverse professional staff and the public, communicate clearly in writing, face-to-face and on the phone, and convey sensitive information tactfully
- Strong organisational skills with the ability to prioritise workload, work methodically and meet tight deadlines
- Proficient IT skills including Microsoft Word, Excel, Outlook, and knowledge of Trust hospital systems such as Epic
- Ability to work independently with minimal supervision as well as collaboratively within a team
- Understanding of confidentiality and its application in the workplace
- Knowledge of medical terminology and patient pathway management is desirable

Qualifications
- Good general education with English and Maths to GCSE standard or equivalent
- Relevant NVQ Level 3 or equivalent qualification or experience
- IT package qualification/training such as European Computer Driving Licence (ECDL) is desirable
- Customer service qualification/training is desirable
