Job overview We have an exciting opportunity to lead the Beacon (Cancer) and Research teams as an Applications Manager in the Information Technology Clinical Systems (ITCS) - Inpatient service. This is a unique opportunity to support the continued stabilisation and optimisation of our recently implemented Apollo Programme, which deployed a number of digital solutions across multiple sites and organisation powered by our Epic Electronic Health Record (EHR). The Beacon and Research teams support and maintain a portfolio of Epic and non-Epic solutions and products that are essential to the smooth running of multiple busy, cutting-edge, highly digitised Cancer and Research services across GSTT and KCH as well as SACT services at Lewisham and Greenwich NHS Trust. We are seeking those who have a strong aptitude for digital systems and are natural born problem solvers. You will already hold accreditation in at least one Epic module (preferably Beacon or Research). Equally as important to these skills will be your understanding of workflow and processes required in clinical research and cancer care settings. You must be able to juggle multiple, sometimes conflicting deadlines and maintain strong working relationships across the wider end user community as well as others within the programme team. Experience in project management and/or change management methodologies and techniques together with experience of managing a team are essential for this role. Main duties of the job The Applications Manager (GSTT/KCH) role is a new position that will unify policies, procedures, practices and skilled teams initially across Guy’s and St Thomas’ and King’s College Hospital NHS Trusts. As a senior member of the Applications Team the post holder is responsible for maintaining the integrity and advancing the development of the Epic modules associated with the area of care delivery in which the post is based, as well as any other associated software applications. They will be responsible for providing overall management of large scale and complex change and improvement projects as part of this role and; will be responsible for managing a selection of non-Epic systems within their team, working with MDI, GSTT, KCH and ITCS technology teams. Systems management includes the configuration of application functionality, on-going technical and system support to users, issuing user names and passwords, extracting and analysing data from the system and liaising with other Trusts’ IT departments and the software suppliers. Working for our organisation Guy’s and St Thomas’ NHS Foundation Trust (GSTT) and King’s College Hospital NHS Foundation Trust (KCH) are two of London’s largest and busiest teaching hospitals, with a long and proud history, international reputations for their speciality services, teaching and research excellence, and a strong profile of local services to local residents in south east London. Together the Trusts have an annual turnover of nearly £3bn and employ around 30,000 staff, with main GSTT sites at St Thomas’ Hospital and Guy’s Hospital, and main KCH sites at King’s College Hospital, Denmark Hill, the Princess Royal University Hospital, Bromley and Orpington Hospital. The Trusts are key partners within King’s Health Partners AHSC (KHP), and Guy’s and St Thomas’ merged with the Royal Brompton and Harefield NHS FT (RBH) in the Spring of 2021. The two Trusts share a Chief Digital Information Officer (CDIO) and a vision for digital services that are lean and agile, that maximise the benefits of a shared service operating model, and deliver the digital ambition for both Trusts. This ambition is supported by a forward-looking and strategic approach, and significant investment in a new Electronic Health Record (EHR) which will catalyse a programme of work across both Trusts to transform the way technology and data is used across our services. We will increase the care that can be provided at home, build our focus on wellness and prevention, and engage patients as partners in their care. Detailed job description and main responsibilities The main responsibilities of the role will involve: • Leading regular process review, feedback and system development meetings both within the systems team and with external stakeholders; • Directing careful planning for systems implementation and the roll-out process; taking into account all dependent variables and liaise with all affected teams, staff and departments; • Managing, co-ordinating and leading the multi-disciplinary applications team whilst ensuring a consistent approach to the configuration of the Epic modules and other associated software applications; • Managing, co-ordinating and leading a team of Senior Analysts and Analysts; • Leading in the development of both the required modules for Epic and other software applications associated with the area of care delivery in which the post is based while ensuring design integrity of the modules and applications; • The post holder will be responsible for leading the establishment of effective partnerships and service improvement plans, supporting and developing new and innovative models of healthcare management and delivery; • Analysing and suggesting ways to improve current workflows and working practices, the post holder will develop and oversee the direction and delivery of change projects, and support and enable senior managers, clinicians, partners and directors; • Providing leadership directly and indirectly for project/change management and support and identity resources needed to enable project delivery; • Working collaboratively with internal and external stakeholders to ensure effective management of interdependencies and delivery of objectives; • Working with the appropriate stakeholders to analyse, negotiate and facilitate agreement for change to high-impact or critical workflows and current working practices, whilst managing expectations and resolving conflicts when necessary; • Assisting with ongoing testing and upgrades of systems to ensure they are safe, usable, secure and robust, both following changes to configuration, as well as development of new releases of software; • Delivering complex software demonstrations. See the full job description and person specification for more details Person specification Education/ Qualifications Essential criteria Educated to degree level in a relevant subject plus master’s degree level or equivalent experience Project management qualification or project experience in current role Significant experience in Area/Specialty system and/or project experience in current role Epic Certification/Accreditation Previous Experience Essential criteria Significant experience working at a senior level in a hospital environment Experience in participation and/or implementation of a clinical system Experience in applying specialist technical knowledge across a range of software applications Experience of dealing with staff performance and disciplinary issues, project performance issues Evidence of leading successful change projects and / or operational performance and improvement; including business case preparation, service design and commissioning, managing external contractors, service change implementation, and the development and monitoring of output and outcome measures Extensive project and change management experience in large complex organisations, including design, development, implementation and management of change in a multiple stakeholder environment Desirable criteria Extensive experience of managing projects or areas with complex working practices and the principles of project management and application of PRINCE2 methodology Skills/ Knowledge/ Ability Essential criteria Extensive expert knowledge of clinical, administrative and/or operational workflows and processes within a hospital environment Ability to prioritise tasks to achieve deadlines whilst working under significant pressure and with frequent interruptions Ability to resolve problems and make decisions based on complex facts using appropriate analysis, interpretation or comparisons Ability to plan, organise and present workshops to Trust staff Excellent interpersonal skills and the ability to communicate and work effectively with a wider range of staff from different backgrounds and levels of seniority Desirable criteria Knowledge of clinical or laboratory information systems Detailed understanding of the implications of data quality on clinical safety and governance.
