Description

Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.

Job overview
We are looking for an enthusiastic and hard-working Assistant Service Manager to work within the General Paediatrics Service. The service runs Mon-Fri, 09:00-17:00.
Based at the Sunshine House, the successful candidate will be an essential part of the Service Management team. The post holder will work closely with the Community Paediatricians and colleagues within the management team, managing the day-to-day operations of the service. This includes line management of members of the administrative team, monitoring of the performance of RTT services, and day-to-day operational management of a busy outpatient service.
The successful candidate must be an excellent communicator and possess effective team working, organisational and time management skills. Applicants will be able to lead and motivate a team with a high degree of self-motivation, and have keen attention to detail. Excellent IT skills are essential, and some experience of service improvement, particularly administrative processes is desired.
This role is an excellent opportunity for those who would like to gain a wide variety of new experiences working within in a community-based health service, within a multidisciplinary team and for those who enjoy service improvement and change.
Experience of outpatient scheduling and use of EPIC, and Microsoft Office applications are highly beneficial.
Main duties of the job
The post holder will be required to support and lead on service improvement projects and continuous improvement of the administrative pathways. The post holder will be required to work closely with the Service Manager and clinical leads to achieve this. Other key responsibilities include providing management support in line with agreed standards, to meet the needs of the Community Paediatrics Directorate
One of the main responsibilities for the post holder will be the day to day management of the service, including but not limited to: line management of the administrative team, ensuring performance is maintained through reporting of KPI’s.
The post holder may be required to undertake additional or alternative administrative or managerial duties and responsibilities commensurate with the level of the post, to support the smooth running of the service.

Children’s community services
We provide a comprehensive range of services for the 127,000 children and young people that live in Lambeth and Southwark. This includes universal services – health visiting, family nurse partnership, school nursing, nutrition and dietetics, and a newborn hearing screening programme. Our specialist services cover community paediatrics, speech and language therapy, physiotherapy, occupational therapy, complex needs nursing, sickle cell and audiology. As well as part of statutory services including looked after children, child protection, safeguarding, and adoption and fostering.
We have two main health centres, Mary Sheridan Centre in Lambeth and Sunshine House in Southwark but we have many more across Lambeth and Southwark. We also provide services in schools, community buildings, in families’ homes, and occasionally in hospital. Through group sessions and individual appointments, face-to-face and virtual, we hold over 145,000 appointments every year.

Support the Service Manager in managing various sections of service, e.g., out-patients or bookings. This will require working autonomously to understand and drive operating targets, budget controls, and relevant HR management.
Ensure effective processes and procedures are in place to monitor and track performance against agreed targets within the service that may be performance related.
Problem-solve all day-to-day management issues organising and reallocating work where situations change due to variations to the work load and staffing availability.
Exercise delegated authority on behalf of the consultants and clinical leads to resolve day-to-day management issues within the service.
Manage the analysis of data so consultants and registrars have access to timely and accurate information on all key performance indicators.
Plan and organise the medical secretary service within the department, setting the goals of the secretarial service in order to fit in with the demands of the consultants’ timetables.
Investigate complaints, as delegated by the Service Delivery Manager,
in line with Trust Policy.
Develop and write policies and procedures within own work area.
