Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.

Job overview
An exciting opportunity has arisen to join the Evelina London Paediatric Rheumatology service as an Associate Medical Secretary. This vacancy is for a 9 month fixed term position, full time (37.5 hours per week). This is a challenging but rewarding role which involves working within a busy service as the sole secretary.
We are looking for an enthusiastic and adaptable individual who has good attention to detail. The post-holder will be responsible for providing efficient, high quality secretarial support to 5 consultants and several allied health professionals within the department. This will include ensuring that all daily secretarial tasks are undertaken, managing incoming and outgoing correspondence and helping with organising clinical meetings with external clinicians. The post holder will need to work well as part of a team and be professional and personable at all times. They will work closely with the Assistant Service Manager, Patient Pathway Coordinator, and Patient Access Coordinators, as well as the multi-disciplinary clinical team.
Main duties of the job
As the medical secretary for the service, you will provide full daily secretarial support to the consultants and members of their teams with respect to their general medical duties. In addition, it is expected for you to monitor and edit clinical letters which may include those of a distressing nature, as well as discharge summaries and other relevant correspondence, to be processed in line with local SOPs and Trust policies. You will be processing incoming referrals and ensuring updates are communicated to referring provider in a timely manner. You will be liaising with a number of internal departments and external Trusts to organise and schedule clinical meetings with the support of the assistant service manager, and will be responsible for managing most of the incoming and outgoing communication for the department.

Main Duties
• provide full secretarial support to the consultants and members of their teams with respect to their general medical duties and specialist work
• type all clinical letters which may include those of a distressing or emotional nature, as well as discharge summaries or other relevant correspondence and documents as required in line with the Trust targets and local SOPs.
• complete general clerical duties including photocopying, filing, collection, opening and distribution of post, faxing, arranging couriers, shredding of confidential information.
• prioritise incoming correspondence and ensure it is promptly dealt with the appropriate member of staff
• act as a central point for information and communication for the clinical team
• assist in providing cover for other secretaries in the Directorate to ensure continuity of service to Consultant, medical staff, service users and patients
Person specification
Qualifications / Education
Essential criteria
Good general education with English and Maths to GCSE standard or equivalent
Previous experience
Essential criteria
Previous medical secretary experience in healthcare or a comparable setting
Experience of tactfully and efficiently dealing with a variety of professionals and patients ensuring their needs are met
Knowledge of hospital administration systems, particularly Epic
Skills/Knowledge/Ability
Essential criteria
Excellent communication skills, with the ability to communicate clearly in writing and over the phone. Convey sensitive information in an appropriate manner. Communicate non-clinical advice to patients in a sensitive and tactful manner
Excellent organisational skills, with a demonstrable ability to manage and prioritise workload independently and with minimal supervision to meet tight deadlines.
Proficient IT skills and extensive experience of using Microsoft Word, Excel and Outlook
