Job overview The role is responsible for providing direct, personal support to the CNO to ensure the work of the CNO is coordinated and actioned in a timely manner. The post holder will help the CNO to be effective in all the roles they undertake by working with them on the strategic agenda, representing their views to appropriate internal and external stakeholders, planning their diary, commissioning and quality assuring briefing materials, ensuring that matters the CNO is responsible for are recorded and that action is commissioned, followed up and delivered. The role will also provide support to the CNO Senior Business Manager in the effective management of the Chief Nurse’s Office and undertake any other duties which may become necessary for the efficient running of the Management Office. Main duties of the job Plan, monitor and manage initiatives and projects when indicated by the CNO, actions following meetings and regular reports. Ensure colleagues receive feedback and action point from CNO activities. Monitor and manage the Chief Nurse’s inbox, and have oversight of in-coming and out-going correspondence, ensuring actions are taken and tasks completed. Produce high quality written material including presentations, reports, letters, memoranda and papers as required. Detailed job description and main responsibilities Exercise delegated authority to plan, monitor and manage initiatives and projects when indicated to ensure actions following meetings and regular reports are completed. Ensuring colleagues receive feedback and action point as required. Draft and provide Board reports, internal and external briefings, and other reports or plans for senior level decision making, at times with Trust wide impact. Work sensitively and professionally with the highly sensitive and confidential information to which they will be privy. Person specification Qualifications Essential criteria Degree level education or equivalent knowledge Management or equivalent relevant training/experience. Evidence of recent Continuing Professional Development Desirable criteria Project Management qualification Experience working in an NHS private office Experience Essential criteria Extensive experience working with senior individuals. Experience of working under pressure, with strict deadlines and dealing with large or complex issues with conflicting priorities, e.g. national and local reporting targets. Evidence of managing a successful project and / or operational performance and improvement. Extensive experience of Line Management Desirable criteria Experience of working in the NHS. Knowledge and understanding of the changing NHS environment Experience of a wide range of Trust procedures and practices Skills Essential criteria Excellent organisation skills with the ability to make decisions, following clear procedures, and using initiative to develop new working methods. Ability to work flexibly and prioritise in response to changing demands and requirements. Ability to work seamlessly across a range of diverse and competing work streams. Strong attention to detail and able to produce accurate and detailed work. Excellent interpersonal communication skills (written, oral and presentation) networking and negotiation skills. Ability to develop and maintain effective working relationships with colleagues of all levels of the organisation. Ability to work within a team environment and display initiative when necessary. Excellent management skills, including motivating and coaching staff. Ability to discuss sensitive matter, e.g. senior HR matters, in a discrete and non-judgemental manner. Understanding of confidentiality issues when handling client data, alongside the implications of the Data Protection Act. IT literate, including competency in MS Office programmes.
