St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital. Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions. Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients. In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Job overview Community Dermatology Administrator Full Time Post 37.5 hours 09:00 - 17:00 Monday - Friday The community administrator will work across Guy's and St Thomas' Hospital, Dulwich and West Norwood to provide a high-quality comprehensive service. You will be working in a small but effective team supporting staff to deliver a recognised community service within Lambeth and Southwark. We are looking for a dedicated individual with a range of office administration experience and excellent organisational skills to manage a busy workload. Good communication and interpersonal skills are required as you will be working with various multi- disciplinary services. The post holder must also be able to problem solve, enjoy team working, and have a flexible approach to work, including a weekly community clinic at West Norwood on a Tuesday afternoon. If you are looking for a rewarding job with a wide range of responsibilities, this post will prove an exciting challenge. Main duties of the job Admin support for community dermatology coordinators. This would include using EPIC data base; signposting any enquires, appointment changes, work queues and support with weekly validation. · Ability to prioritise tasks and work independently, while adhering to deadlines. · Weekly duties include reception cover, customer service, maintaining databases, booking appointments, attending meetings, scanning, collecting a small amount of weekly post and other general administrative support. Play a key role in the efficient day to day actions of the community. Maintaining patient confidently and data security. Communicate in a professional and courteous manner to staff and patients. Answer general queries and explain information relating to the community service. Work at another outreach site when required. Undertake additional or alternative administrative duties and responsibilities commensurate with the level of the post, to support the smooth running of the Lambeth and Southwark community dermatology services. Attention to detail, to ensure accuracy in patient information and documentation. Excellent commination skills, both verbal and written to interact effectively with patients and colleagues. Working for our organisation We support adults and children who live in Lambeth and Southwark with a wide range of skin (dermatological) conditions. We: give advice to GPs to help patients manage their skin problems without coming to clinic run weekly clinics at: St Thomas' Hospital and West Norwood Health and Leisure Centre for patients living in Lambeth Guy's Hospital and Elm Lodge surgery for patients living in Southwark give patients a treatment plan they can use with support from their GP We have access to specialist clinics at: Guy's and St Thomas' NHS Foundation Trust King's College Hospital NHS Foundation Trust Lewisham and Greenwich NHS Trust We also run educational sessions for our GP colleagues in south east London. Detailed job description and main responsibilities Duties and Responsibilities The duties and responsibilities listed below are representative of the Administration role and its purpose within community services; they are not exhaustive and the post holder may be required to undertake additional or alternative administrative duties and responsibilities commensurate with the level of the post, to support the smooth running of the community services. Main Duties Ensure that patients are appropriately reminded of their appointments. This may include sending reminder letters or contacting patients by telephone, up to five days before their visit to re-confirm attendance in line with departmental protocols Liaise with patients prior to their hospital visit to ensure that a mutually convenient date and time is agreed. Ensure that departmental standards are met for patients receiving notification or acknowledgement of their visit. Provide a courteous and efficient point of contact for patients both face to face and over the telephone. Ensure that each patient is treated as an individual and their individual needs are met (e.g. appropriate support is in place for their appointment, such as interpreting support). Using the Epic Waiting Lists, booking of appointments to ensure timely access to care. Ability, to prioritise tasks and work independently whilst also collaborating with the wider health care and admin teams. Respond to patient queries or concerns in an effective and professional manner, escalating where appropriate to coordinators. Excellent communication and interpersonal skills, to interact effectively with patients, clinicians and other health care professional. Responsible for the accurate input and maintenance of confidential data onto relevant Trust IT systems. In conjunction with coordinators, review cancelled/Did Not Attends/deferred patients ensuring appropriate action is taken. Work flexibly to ensure the department operates effectively, including working across both Guy’s and St Thomas’ hospital sites and outreach clinics. Ensure that all telephone, community generic e-mail or written queries are responded to within the appropriate timeframe and escalated if necessary. Develop and maintain relationships with all community dermatology staff groups to ensure smooth and effective team work. Ensure that all patient demographics are checked and updated on all Trust systems. Ensure patient cancellations/changes are recorded appropriately on all relevant Trust systems. Patient Waiting Lists are proactively monitored. Local and Trust policies are adhered to at all times. Collect a small amount of post - handle incoming and outgoing correspondence. Scanning all documents from weekly Southwark and Lambeth community clinics in a timely manner. Other Work within a multi-disciplinary team in developing the service in line with departmental plans and Trust corporate objectives. Participate in department development as appropriate and participate in departmental meetings. Undertake any other duties commensurate to the grade, required to ensure the smooth and efficient running of the department. Undertake any training as required to complete the tasks associated with the job role. To provide general administration support as directed by the Assistant Service Manager.
