Job overview The Corporate Affairs team is seeking a governance professional/senior administrator to join the Trust’s Corporate Affairs Department on secondment for 12 months. Corporate Affairs is responsible for ensuring that the Trust has a high quality corporate governance framework in place that supports good decision-making and robust risk management, enabling the Trust to meet its statutory and regulatory requirements. The role provides an exciting opportunity to work closely with the Trust’s Board of Directors, attending and supporting Board and Executive level meetings where the key decisions and discussions take place that determine the Trust’s future. Corporate Affairs has also recently implemented a new governance structure at Board level and is focusing on further professionalising and improving the service the team provides managing the most senior forums within the Trust and leading on best practice governance. We particularly welcome expressions of interest from individuals who have an interest in developing their skills in corporate governance. Main duties of the job Corporate Governance Managers are fundamental to the success of the Corporate Affairs Department through the delivery of high quality governance support including the simultaneous management of multiple governance workstreams, provision of strong business leadership and high-quality senior administrative support. On a day to day basis this means the proactively managing forward plans, having a strong understanding of the Trust's operating model and key issues, projects and programmes, servicing meetings, taking minutes, following up on actions and other standard governance requirements. Whilst business as usual is the core of the role, the post holder will also have the opportunity to get involved in the improvement work that the Team is driving forward though the well-led workstream. As such, we require a dynamic individual with strong verbal and written communication skills who can work in partnership with colleagues at all levels, has meticulous attention to detail and the ability to quickly adapt and respond to short notice changes and requests. Working for our organisation The successful candidate will join the Corporate Governance Team within Corporate Affairs with the opportunity to work in a team setting as well as autonomously. Detailed job description and main responsibilities Key Responsibilities and Operational Delivery Ensure the effective operational management of the Trust Board and Board committees, senior Executive Committees and Council of Governors following best practice in governance arrangements. Provide secretariat support and facilitation at Council of Governors, Board and Committee meetings and the main Executive Committees, ensuring they are properly constituted in line with terms of reference. Ensure high-quality minutes are produced in line with the Trust style. Responsible for the planning of the annual schedule of the Trust Board and Board Committee meetings, and the Executive Committees, ensuring venues are booked with appropriate meeting facilities. Management of multiple interrelated Trust Board and Board Committee and Executive Committee agendas linked to long term planning. Ensure that agenda items are agreed and coordinate submission schedules and timetables across multiple directorates and clinical groups. Adjust plans as required to ensure that risks and issues are mitigated. Support the effective functioning of meetings, ensuring that systems are in place for active management of agreed items, forward planning of all actions and decisions. Facilitate the effective conduct of Board and Board Committees and the Executive Committees by providing high level pre-meeting support to Chairs and prepare meeting briefings and agendas. Provide support on a variety of projects ensuring outputs are delivered effectively. Responsible for planning, day-to-day delivery and subsequent performance management. Corporate Governance and Regulatory Compliance Support the development and implementation of a Trust wide Corporate Governance Framework, Standing Orders, Standing Financial Instructions, and Schemes of Delegation which are fit for purpose in the context of the Trust’s medium and long-term strategy. Drive excellence across the whole organisation, establishing outstanding governance policy and practice which reflects the strategic intent and direction of the Trust and is in line with the standards of good governance set for the NHS. Support the organisation of the Annual General Meeting in accordance with statutory requirements, liaising closely with the Communications Team. Communication and Partnership working Foster close working relationships with other senior managers, teams across the Trust and external stakeholders. Act as mentor to senior EAs and Business Managers offering advice, support and training, including on governance matters to those with varying levels of prior knowledge Person specification Knowledge and experience Essential criteria Educated to Masters / degree level / relevant professional qualification or equivalent work experience.
