Description
Guy’s and St Thomas’ is among the UK’s busiest and most successful NHS foundation trusts. We provide a full range of hospital and community services for people in south London and as well as specialist care for patients from further afield including cancer, renal, orthopaedic, respiratory and cardiovascular services.
Guy’s is home to the largest dental school in Europe and a £160 million Cancer Centre opened in 2016. As part of our commitment to provide care closer to home, in 2017 we also opened a cancer centre and a kidney treatment centre at Queen Mary’s Hospital in Sidcup. St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital.
Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.

Job overview
The principal role of the ward administrator is to maintain a control system for admission, discharge and transfer of critical care patients to the ward/clinic/department/ other facility.To act as the first point of contact for all staff, both internal and external, and relatives/former patients to ensure the smooth running of the AICU
Assist in the reception of patients and families to the AICU supported and supervised by a registered nurse.
Ensure efficient administration of all aspects of patient admissions into AICU in liaison with operating theatres, wards and medical staff.
To supervise, where appropriate, less experienced ward clerks in the clinical area ensuring that a wide range of skills are used, technical ability, numeracy and literacy skills as well as excellent interpersonal skills.
To be actively involved in the management of the Trust PAS system to ensure that patient records are accurate.
To supervise where appropriate, less experienced ward clerks in the clinical area, ensuring patient focused care is provided, by the administrative team.
To provide any administrative and clerical support to the multi-disciplinary ward team.
To be flexible in the approach to the clinical area and provide cover for any areas specified (ward/clinic) by the senior nurse/matron.
To provide administrative support at a specialized level, with the effect that a quality of service is maintained within the specialty.
Main duties of the job
To provide comprehensive, confidential, and administrative support to the AICU team
Carry out tasks in delivering and supporting indirect patient care under the supervision of a registered nurse.
Reception of patients, families and health care professionals..
Ensure efficient administration of all aspects of patient admission to hospital is carried out in liaison with the senior nursing staff in AICU.
To ensure that patients receive written/verbal communication in advance of admission to hospital with special emphasis on client care.
Ensure that in event of patient admission being subject to cancellation, that it is handled appropriately and sensitively.
To be involved in the preparation of patient discharge, in conjunction with the multi-disciplinary team. Where necessary ensuring transport and other homecare arrangements are in place for the patient/client.
To liaise with the Trust bereavement officers and senior nursing staff in the administration of the bereavement process.
Maintenance of all computerised patient administration systems
To ensure medical records are maintained, ensuring correct documentation and results are filed correctly and promptly.
To ensure that telephone inquiries are dealt with in a sensitive and polite manner.

Adhere to departmental and Directorate procedures for the use of supplies and equipment in order to promote the effective and efficient use of resources.
Assist in the ordering of supplies and maintenance of equipment as directed by a registered nurse.

People management
Participate in the Trust’s appraisal and personal development plan schemes by meeting with the manager at least annually.
Ensure all mandatory training are up to date.
Assist with the supervision and teaching ward clerks and clinic administrators.
Communication
Demonstrate a courteous and helpful approach to patients, relatives and visitors in the clinical area within their own capabilities.
Answer the telephone in a courteous manner and ensure that telephone enquiries are dealt with sensitively and appropriately
Carry out assigned clerical tasks as directed by a registered nurse.
Report untoward incidents and any other relevant information to a registered nurse immediately.
Inform a registered nurse if asked to carry out a task which the individual does not have the training or capacity to do.
Promote the corporate image of the Trust to all individuals, groups and organizations, both within the Trust and externally to the community at large.
Participate fully as a team member, sharing knowledge and information and supporting colleagues, to promote a cohesive ward team and the achievement of team objectives.
When maintenance work is required on ward liaise with the estates department to log the request and follow up if the job is not undertaken within 24 hours.

Tidy all notes on discharge and track to secretaries
Hold discharge notes for the clinical coding team
Collect and deliver personal mail to patients
