Job overview Deputy Service Manager in Plastic Surgery An exciting position has become available in the Plastic Surgery. We are seeking to appoint a dynamic, ambitious and talented individual to this post. If you are keen to influence and drive patient experience, safety, performance and staff wellbeing then we would like to hear from you. You will work closely with Service Leads, and clinicians within the service and other staff across the Trust. You will provide leadership and expert advice to your teams to help deliver high standards of care and quality, patient-centred service with an ethos around continuous improvement. The post holder will need to have experience in operational service delivery and needs to be flexible and adaptable to the requirements of managing a dynamic and fast paced service. You will have line management, budgetary and performance responsibilities. You will lead on service improvement projects to raise quality and drive productivity while maintaining operational delivery. Main duties of the job The duties and responsibilities of this role including supporting the Service Manager in managing the day-to-day operations of a the service, ensuring effective service delivery and monitoring of key performance indicators. The role will also have managerial responsibility of the administrative team, as well as involvement in exciting projects. The successful candidate will work closely with the admin team, service management and clinical teams to ensure the smooth running of the service. They will therefore be an excellent communicator, with the ability to develop strong working relationships. Detailed job description and main responsibilities Detailed job description and main responsibilities Operational Management Ensure effective processes and procedures are in place to monitor and track performance against agreed targets within the service that may be performance related. Problem-solve all day-to-day management issues organising and reallocating work where situations change due to variations to the work load and staffing availability. Manage the analysis of data so consultants and registrars have access to timely and accurate information on all key performance indicators. Policy Development and System Management Develop and write policies and procedures within own work area. Manage the implementation and overall management of office systems, control processes and risk management arrangements to ensure effective delivery of service. To investigate complaints, as delegated by the Service Delivery Manager, in line with Trust Policy. This may involve handling sensitive interpersonal situation. Financial Management Manage and monitor performance of the administrative support to ensure that the service meets its financial and operating targets. Staff Management Day-to-day managerial responsibility for all administration and secretarial staff within the medical secretarial service or others as agreed. Set objectives and review performance of service staff, identifying individual training and development needs and promote continued personal and professional development. Manage annual leave, sickness, disciplinary and performance issues in line with Trust policies and the effective delivery of service. Anticipate staff shortages and problem areas and take action to minimise the impact of these on service delivery. Support conflict resolution from patients, staff, suppliers, other internal and external service providers and partner organisations in the service. Ensure that all staff adhere to the appropriate legislation when dealing with patient material and that suitable filing & booking systems are effectively managed. Person specification Education and Qualifications Essential criteria Educated to degree level or equivalent knowledge, skills and experience Evidence of recent Continuing Professional Development. Previous Experience Essential criteria Evidence of supporting successful project and / or operational performance and improvement; including the development and monitoring of output and outcome measures Operational experience in supporting specific services including design, development, implementation and management of change in a multi-professional environment Experience of administering budgets and demonstrable evidence of individual, team, financial, process and change management Desirable criteria Knowledge and understanding of the changing NHS environment Skills/ Knowledge/ Ability Essential criteria Effective people and project management skills Use analytical and judgement skills including understanding and application of complex statistical and numerical data Effective communication skills both written and verbal including formal presentation skills, influencing and negotiating Work flexibly and prioritise in response to changing demands and requirements Organisational skills and the ability to prioritise, meet deadlines and delegate effectively Ability to find innovative ways of solving or pre-empting problems IT literate, including competency in MS Office programmes and in particular in Excel Further details / informal visits contact Name Maryam Dar Email address [email protected]
