We are seeking an experienced and motivated Executive Assistant to join the Integrated and Specialist Medicine Clinical Group. This role offers the opportunity to provide high-level administrative and organisational support to senior leaders within a large, complex healthcare organisation.

The successful candidate will be responsible for diary management, correspondence handling, preparing documents and reports, coordinating meetings and events, minute taking, managing confidential information, organising travel and logistics, supporting office management, handling financial administration up to £500, and providing cross-cover support to other Executive Assistants. This role requires excellent communication, organisational skills, strong IT proficiency, and the ability to work independently under pressure.

Requirements

Experience
- Substantial experience working as a Personal Assistant within a large, complex organisation such as the NHS
- Experience dealing with the public and clients
- Experience working in a multi-disciplinary team
- Experience of minute taking and servicing committees or groups
- Previous NHS or busy clinical environment experience is desirable

About you
- Self-motivated and able to work on own initiative with minimal supervision
- Excellent communication skills, able to interact efficiently and courteously with patients, visitors, and staff both in person and over the telephone
- Excellent organisational skills with the ability to manage and prioritise workload to meet tight deadlines
- Discreet, reliable, trustworthy, highly motivated, enthusiastic, and self-disciplined
- Willingness to learn new processes and systems quickly
- Ability to develop good working relationships at all levels
- Understanding of confidentiality and its application in the workplace
- Flexible approach to work according to priorities and organisational changes

Qualifications
- Secretarial qualification such as RSA 3, NVQ 3 in a relevant subject, or equivalent
- Ability to type accurately at 60 words per minute
- Excellent IT skills with experience using the full Microsoft Office Suite
