Description
Guy’s and St Thomas’ is among the UK’s busiest and most successful NHS foundation trusts. We provide a full range of hospital and community services for people in south London and as well as specialist care for patients from further afield including cancer, renal, orthopaedic, respiratory and cardiovascular services.
Guy’s is home to the largest dental school in Europe and a £160 million Cancer Centre opened in 2016. As part of our commitment to provide care closer to home, in 2017 we also opened a cancer centre and a kidney treatment centre at Queen Mary’s Hospital in Sidcup. St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital.
Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.
In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Job overview
An exciting opportunity has arisen for an Information officer to join our friendly and fully integrated medicines effectiveness and safety team based within the Pharmacy and Medicines Optimisation Directorate.
As Information Officer, you will provide high quality data management support and will be responsible for using and maintaining essential databases. You will be responsible for finalising and uploading to various internal filing systems essential documents relating to medicines optimisation in an accurate and timely manner.
An ability to work independently, prioritise tasks, manage your own time, show initiatives across a range of administrative procedures is necessary while still remaining an active team member. An outstanding attention to detail along with problem solving, proven organisational and IT skills is required for this post.

Main duties of the job
Candidate must have experience working with databases including data entry, queries and reporting .
Efficient in data manipulation and maintaining essential databases.
Efficient in using software (e.g. MS Word and Adobe Acrobat) to finalise documents and upload them to the appropriate Trust system in a timely manner.
Must possess good communication skills, both verbal and written, in dealing with staff of all levels and the ability to work independently under minimal supervision. Must be a good team player.
Working for our organisation
Guy’s and St Thomas’ Medicines Effectiveness and Safety team is part of a large, vibrant service focussing on delivery of advice related to Medicines Effectiveness and Safety. We are a team of approximately 20 individuals. We sit within the GSTT Pharmacy Department and alongside the national Specialist Pharmacy Service.
We aim to promote the safe, effective and economic use of medicines in patients, through active provision of accurate information and advice.
We provide clinical advice about medicines to a large number of health care professionals and patients. We support the training of many pharmacy professionals.
Detailed job description and main responsibilities
Professional Responsibilities
Proactively manage information request from trust staff including first point of contact for support and advice on manual and ad-hoc information collection issues.
Analyse and diagnose user requests which will include situations and information, which are wide ranging and require judgement and expertise to decide on the best course of action. Escalate where appropriate.
Advise on the interpretation of data and of reports, providing explanation and clarification as required
Responsible for planning and organising work load to meet operational requirements
Provide correspondence, letters, emails and other documents from written copy, follow verbal instructions and generate own correspondence as required
To provide advice and regular training on data management to a range of staff groups.
Provide support at Trust meetings that are managed by this team. This may include ensuring the right papers are collated for the agenda, recording attendance and taking minutes.
Use appropriate software (e.g. MS Word and Adobe Acrobat) to finalise documents and load them to the appropriate Trust system in a timely manner. This requires a high attention to detail.
Information management
Responsible for modifying and validating the databases and to support any development work. Maintain databases and ensure their security and compliance with GDPR legislation.
Accurately and efficiently enter data on to current databases and into web-based content management system. This will require a high level of attention to detail and accuracy.
Create and manipulate reports from the current databases to provide information as required, this will include regular reports and ad hoc report.
Responsible for maintaining and updating content on the team website.
Undertake analysis of data to support the delivery of the service
Ensure appropriate confidentiality of records and information (verbal, written and computerised).
Maintain the flow of information to all user groups providing both user feedback and information
Provide advice to the department staff on the preferred way in which data collection should be undertaken in accordance with policies
To constantly review, streamline and update processes for recording data, in order to improve data quality within the service. To take part in decision making and influence departmental changes, and contribute to and participate in review of systems, policies and procedures
Assist in planning in advance with the team to provide databases that will meet the needs of the service/project.
Other
Liaise with staff locally and nationally to create appropriate data collection methods and provide reports.
Identify and recommend changes to procedures within the service which will improve the quality of service to patients
Assist with Departmental duties as directed by line manager
To support audit and survey work on behalf of the department
Support senior pharmacists with the management of controlled stationery.
Disseminate information to the appropriate email groups in a timely manner.
Work under own initiative seeking advice when necessary and identify areas for improvements
Carry out other departmental duties commensurate with role.
