Description

Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.

Job overview
We are looking for a professional and experienced Receptionist/Booking Clerk for our Nuclear Medicine Department.
The successful candidate will primarily work in the Nuclear Medicine front office helping provide an efficient service in running our small and dynamic office where your professionalism, initiative and office skills will be highly welcomed. You will need to have a presentable appearance, be computer literate, and have a good eye for detail and excellent interpersonal skills.
No formal qualifications are required for this post but a good educational standard is essential together with previous office experience. Training will be given but previous NHS/hospital experience will be desirable.

Reception

Use and develop effective communication skills and communicate appropriately with wards, OPD, radiographers / technicians and porters regarding patient movement and timings.
Liaise with outside hospitals, secretaries, and medical staff regarding requests for examinations.
Information management
· To enter patient and relevant scan information into the Trust Access Financial Database for issuing of invoices for external NHS referrals

We are an imaging department and have a close working relationship with cardiology. We have an excellent proactive attitude towards the role development of staff and skills mix with other professions.
The department has two Cardiac Gamma cameras, and a SPECT CT camera, with a variety of both cardiac and non-cardiac scanning. The role does not require knowledge about nuclear medicine but training will be provided. The candidate should be enthusiastic, with good communication skills and be an excellent team player.

Detailed job description and main responsibilities
Main tasks & responsibilities:
Patient/customer care (both direct and indirect)
Reception
· To act as first point of contact for patients, staff and members of the general public who seek information and support from the Nuclear Medicine Department.
· The post holder must be able to triage any enquires appropriately, as well as deal sympathetically and tactfully towards people who may be distressed or angry.
· Provide an agreed level of general information relating to tests and investigations. Use judgment to know when to pass the caller on to a member of the clinical team.
· Observe patients in waiting area and to appropriately report any deterioration in a patient’s condition to a clinical member of staff.
Record patient’s attendance and maintain computerised patient records.
· Inform clinical staff of patient arrivals and direct patients to the relevant waiting areas.
Make appointments for Nuclear Medicine procedures by phone or in person and send out appointment letters and scan results.
Process in-patient requests.
Ensure that all requests for procedures are authorized by the appropriate medical or professional staff.
Arrange for transporting patients by porters to wards and other departments.
Enter appointments and register on EPIC, registering patients on Lorenzo, do Trust to Trust invoicing and inputting ICE imaging transfer requests
· Provide patients with appropriate information relating to their hospital visit.
Communication
Prepare information to be given to patients, i.e. appointment letters, scan leaflets and any other information, i.e. preparation for procedures.
Referral or resolution of telephone enquiries.
Act tactfully and sympathetically towards patients who may be anxious or concerned.
Use and develop effective communication skills and communicate appropriately with wards, OPD, radiographers / technicians and porters regarding patient movement and timings.
Keep patient’s relatives informed of situation.
Keep patients informed of any delays that may occur within the department.
Liaise with outside hospitals, secretaries, and medical staff regarding requests for examinations.
Communicate with wards to arrange in-patient appointments and referring hospitals, ensuring checklists for each appointment is complete i.e. contact details, infection risk.
· To use tact and discretion when dealing with telephone enquires from patients, GPs and others.
· To work effectively as a team member.
Information management
Record patient attendance and maintain computerised patient records using EPIC.
· To enter patient and relevant scan information into the Trust Access Financial Database for issuing of invoices for external NHS referrals.
· To produce the documentation needed to issue invoices for private patients.
· To keep updated with IT training (i.e. Windows, Outlook) including and relevant secretarial training courses (i.e. Medical Secretarial Foundation Course, AMSPAR training)

Resource Management:
To monitor and report stock levels of stationary, leaflets, and other consumables to the Admin Co-ordinator
To help the Admin Co-ordinator in collating data for Capacity and Demand.
To help the Admin Coordinator, technical staff and doctors with any other office duties as needed.
Other Duties:
To undertake any other duties commensurate with the grade as requested.
To attend mandatory training and take part in in-house training and other such courses of instruction as may be arranged.
