The Patient Access Coordinator will be the first point of contact for patients and service users, possessing in-depth knowledge of outpatient and inpatient scheduling procedures within their speciality. This role involves close liaison with clinical teams and speciality management to ensure patients receive timely and appropriate appointments according to their care pathway.

The post holder will rotate within the team to provide clinic reception cover, scheduling functions, general administrative support, and telephone cover. This ensures patients consistently engage with knowledgeable staff who understand their scheduling needs and that clinical teams are supported by efficient administrative personnel.

Main duties include providing administrative support to the Pre-assessment department, reception cover, booking inpatient admissions, float cover for multiple admission services, theatre reception cover as needed, and working alongside the Patient Pathway Coordinator to manage patient bookings, waiting lists, and urgent referrals. The role requires working on-site during contracted hours and meeting set KPIs while ensuring accessibility to patients and colleagues.

Requirements

Experience
- Proven experience in an administrative role
- Experience working in a customer-focused environment, demonstrating the ability to handle difficult customers and challenging situations
- Experience within the NHS is desirable but not essential

- Commitment to providing courteous and efficient service to patients and colleagues

Qualifications
- Good general education with English and Maths to GCSE standard or equivalent
- IT package qualification or training (Word, Excel, Outlook) is desirable
- Customer service qualification or training is desirable

Additional Information
- Knowledge of key waiting times targets including 18 weeks RTT and 6 weeks diagnostic is desirable
- Experience with Trust systems such as Epic, PIMS, Galaxy is advantageous
- The post is subject to a Disclosure and Barring Service check due to access to vulnerable people
- The role requires on-site presence and does not offer flexible working due to its reception duties
