St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital. Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions. Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients. In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Job overview This role will provide administrative support to the AI, Data & Digital Innovation team, including: Financial arrangements, projects administration, AI conferences and events support, reporting and coordination of resources and content. The role will work in a fast paced environment working on cutting edge innovations in Artificial Intelligence and Big Data Research. The Team the role will support are highly accomplished specialists with down to earth personalities who embrace the ethos of patients first in everything they do and a genuine openness to share knowledge and experience. The role will work across multiple organisations including NHS Trusts, Universities and Industry. With scope for enormous learning. Main duties of the job The post-holder is responsible for supporting individual packages of work and project support to ensure all outputs are delivered effectively. The post holder will take a lead on specific projects or aspects of a project. With responsibility for, day-to-day delivery and adjusting plans as required to ensure that risks and issues are mitigated. The post holder will work collaboratively with internal and external stakeholders to ensure effective management of interdependencies and delivery of objectives. It is expected that the specific projects managed by the post holder will change over time as the portfolio of work changes. This role also requires some general business support responsibilities as and when required. Working for our organisation The AI, Data & Digital Innovation team is made up of data science, technology and digital transformation experts, operating as part of the wider King Health partner’s (KHP) group – based in GSTT but working closely as a team with KCH and KCL. The team works on some externally funded programmes - that develop and implement Data platforms and AI with the aim to achieve better outcomes for patients’ diagnosis and treatment, improve clinical and operational workflows and drive innovative healthcare research. This includes The London Artificial Intelligence Centre for Value-Based Healthcare (AIC) is a consortium of NHS, academic and industry partners led by Guy’s & St Thomas’, King’s College London and KCH in partnership with 10 NHS Trusts and 4 universities. The AIC has been commissioned as part of the London Secure Data Environment (SDE) programme for its latest phase to work on the integration of AI capabilities: to extend multi-modal and real-world data enrichment, AI technologies, and analytics capabilities, to NHS partners and data environments across London. Detailed job description and main responsibilities Project Management · Support the development of project plans and the delivery of agreed milestones and objectives. · Provide project support to the individuals in the project team. · Organise project meetings, ensuring that regular meetings are established, reports are produced and disseminated in a timely way and actions are followed up – adjusting plans to accommodate complex and changing priorities. · Set up and maintain risk and issues logs. Working closely with more senior project leads to monitor and address risks and issue resolution to ensure projects deliver to time, quality and cost. · Communicate information on the delivery progress of the project(s) to key stakeholders as required. · Draft highlight and exception reports when required, tracking milestones, for circulation to more senior project leads · Co-ordinate minutes, agendas and papers for distribution in preparation for meetings, ensuring this is done in a timely manner. · Support evaluation and audit of projects across sites and organisations. Financial management · Manage a delegated budget for own area of work to ensure best value for money, monitoring expenditure and providing budgetary reports when required. · Actively monitor expenditure against budget and address problems at an early stage. Manage forecasts against budgets for relevant cost centres. · Support the commissioning and procurement of products, equipment, services, systems and facilities, as required for the delivery of the project. · Raise purchase orders and requisitions, process invoices, manage forecast and liaise with finance to set up budget codes and draw down funding. Staff and stakeholder management · Support engagement plans for projects to proactively ensure that positive and effective relations are developed and maintained between members of the team, all clients and key internal and external stakeholders throughout the project. · Support strategies to achieve acceptance, consensus and alignment of views, both formally and informally from senior managers and clinicians. · Support delivery plans and ensure these are regularly updated for all projects. · Support specific project management training and model practices to both internal staff members and external stakeholders and partners. · Edit relevant document and content for websites and media, reports and briefings. Information management · Maintain project information management systems, produce reports and maintain project plans. · Maintain data collection systems that will provide accurate and timely data, including quantitative and qualitative data. · Maintain databases required by the project. · Interpret policies and protocols to support the project that are consistent with Trust standards Strategy, change and service improvement · Support the development of a project strategy including research and development to identify, develop and promote best practice. · Support test and review of new concepts, models, methods, practices, products and equipment. · Support innovative methods to gain patient and public involvement to inform service direction, improvement, user satisfaction and as a tool for performance management. · Regular horizon scanning of best practice and ways of working within the sector and within project management. Personal Development · Maintain up to date knowledge of a range of skills including service improvement techniques and be responsible for developing and maintaining own CPD programme. Research and Development · Undertake primary and secondary research, audits and evaluations as required. Person specification Qualifications / Education Essential criteria Educated to degree level or equivalent knowledge, skills and experience.
