Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions. Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients. In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. We have one of the most ambitious capital investment programmes anywhere in the NHS. Job overview Our award winning Recruitment Team are looking to appoint Recruitment Assistants. One role is a 13-month fixed-term role to cover Maternity Leave. This role sits within our Corporate and Essentia recruitment team. We are also looking to recruit up to 4 Recruitment Assistants on a 4-month fixed-term basis. These Recruitment Assistants will primarily be working on a large TUPE transfer of support services staff however will also be providing more general support to the wider recruitment team. The successful candidate will be joining us as we continue to improve our service which has seen us achieve the second best “Time to Hire” across London NHS Trusts. Reporting to the Recruitment Manager of the respective team, you will play a pivotal role in the on boarding process of new employees, including pre-employment checks. The successful applicant will be passionate in providing good customer service, being the face of the Trust, whether attending assessment centres or conducting ID checks and so good communication and interpersonal skills are required for the role. You will ideally be coming from an NHS Recruitment service, have experience in ESR (HR and Payroll sides) and the TRAC recruitment systems. You will also have excellent communication skills, a strong work ethic and be passionate about providing a high quality customer service to your patients and colleagues. Main duties of the job As the successful post holder you will provide key support to the management of recruitment campaigns in order to ensure a high quality, effective reliable and responsive recruitment and selection service. Detailed job description and main responsibilities Duties and Responsibilities: To act as first point of contact for recruitment enquires for managers, staff, applicants and bank workers giving initial advice and support on recruitment processes and specific information regarding campaigns within the team remit, referring to a Recruitment Co-ordinator or Recruitment Manager where necessary. Under the direction of the Recruitment Manager and Co-ordinators, provide comprehensive recruitment system administration and administrative support to interview panels and assessment centres as required. To advise candidates of the outcome of shortlisting and interview to send regret emails via the ERecruitment system (TRAC) Undertake and provide a comprehensive pre-employment checking process, which includes following up references, occupational health clearance, ID/DBS verification, and new starter paperwork has been completed in an accurate and timely manner. Liaise effectively with applicants, hiring managers and other departments such as Occupational Health to ensure on time delivery of employment checks and ensuring completeness of information. Ensure all administrative activities related to recruitment processes are timely and accurate. Provide follow up and advice to hiring managers and applicants to ensure timely completion of activities and required action ensuring on time and successful campaign completion. Update vacancy and candidate information booking and coordinating interview slots and assessment centre invitations as directed. Under the direction of the Recruitment Co-ordinators, prepare and send out interview packs and other relevant paperwork to recruiting managers and applicants. Carry out a range of administrative duties that are commensurate with the grade to support other areas and recruitment activities of the team including (but not restricted to) fulfilment, data entry, scanning as required to support the Resourcing function. To be familiar with AfC and Medical and Dental terms and conditions referring queries to other recruitment and HR colleagues when required. Meet the requirements of Service Level Agreements addressing compliance issues, identifying problems and escalating where appropriate. Provide a recruitment campaign closure service, checking accuracy and completeness of all associated records before issuing final or amendments to contracts of employment and forwarding handover to payroll. Responsible for ensuring accurate on time completion and delivery of employment contracts. Ensuring documents produced, delivered and stored are accurate and comply with Trust requirements and KPI’s. Person specification Education/Qualifications Essential criteria NVQ level 3 or equivalent experience in customer service or administration Educated to GCSE or equivalent including English and Mathematics Skills Essential criteria Operational knowledge of standard resourcing policies and procedures.
