About the Role

As a Reservations Group Coordinator, you will be responsible for managing all bedroom reservations for groups of 8 rooms or more, received via telephone, fax, internet, or email. Your role is key in increasing and optimising room sales in line with the brand and hotel’s sales policies. You will handle group reservations efficiently and pleasantly, ensuring maximum potential revenue while multitasking under pressure with a proactive approach.

Main responsibilities include thorough administration of group reservations to facilitate smooth check-in operations for the Front Office team, converting enquiries into confirmed bookings, and promoting the Accor Live Limitless loyalty program to customers. You will ensure all group reservation details are accurately entered and confirmed, pass on special requests to relevant departments, and help optimise occupancy and average room rates while respecting the hotel’s pricing and Revenue Management policies.

Being fully knowledgeable about the hotel’s bedroom types, facilities, location, and transport links is essential to support customers effectively. You will ensure every customer’s first impression is a Heartist one. Additionally, you will develop and train team members in group reservations, assist the Reservations Manager, supervise new and existing team members daily, and liaise with other managers to implement new group procedures.

You will also manage the department rota in the absence of the Reservations & Assistant Reservations Manager, check for duplicate bookings, handle and resolve customer complaints efficiently, charge no-shows, consolidate and verify invoices, ensure secure and accurate payment handling, and produce group rooming lists with all necessary checks before final billing. Ongoing updates and accurate entry of group booking details are also part of your responsibilities.

Requirements

Experience
Previous experience in reservations or group bookings is advantageous. Ability to multitask and work efficiently under pressure is essential.

Qualifications
Eligibility to work in the UK is required. No specific formal qualifications are stated, but experience in hotel reservations or a related field is preferred.
