St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital. Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions. Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients. In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Job overview This is a very exciting opportunity to lead a small team within Critical Care who manage and configure Epic modules for data analysis, audit and research and other software applications for Critical Care. The role involves liaising with colleagues from GSTT/RBH/HH/KCL to provide reporting solutions within Epic for all users. You will also be responsible for ensuring that CCMDS/ICNARC data is accurately submitted along with supporting the audit teams within Critical Care with data extraction. Main duties of the job As a Senior Analyst for Critical Care, the post holder has overall responsibility for the team who will configure the Epic modules and other software applications for Critical Care. The post holder will be responsible for: • Supporting and coach the analyst team to maintain their Epic Accreditation and develop their analytical skills. • Managing, coordinating and leading a team of Analysts to ensure build is on time. • Taking responsibility to ensure design integrity; • Analysing and suggest ways to improve current workflows and working practices with clinical and operational leaders; • Working with the key stakeholders to analyse, negotiate and facilitate agreement for change to high-impact or critical workflows and current working practices, whilst managing expectations and resolving conflicts when necessary; • Preparing for testing of the system to ensure it is safe, usable, secure and robust including the preparation of all test scripts; • Testing of your area, plus the integration across all the modules to ensure care pathways are tested end to end; • Supporting complex Epic software demonstrations and present information on the teams’ progress adapted in a way in which makes it easy for the audience to understand. The Trusts are key partners within King’s Health Partners AHSC (KHP), and Guy’s and St Thomas’ merged with the Royal Brompton and Harefield NHS FT (RBH) in the Spring of 2021. Detailed job description and main responsibilities Knowledge training and experience • Highly developed specialist knowledge of subject matter underpinned by clinical and operational experience will be required to ensure you and your team deliver; • Log and manage issues as they arise, liaise with colleagues and the suppliers to achieve resolution, ensure your team update the information system accordingly. Escalate unresolved issues from the whole team to the Directorate Management Team • Negotiate and persuade senior Trust staff to accept changes to working practices which will improve efficiency, patient flow and/or patient experience; • Report the team’s configuration progress on a daily/weekly/monthly basis to the Head of Technology using the information tools provided; • Work with the report writers in the Data & Analytics Team to ensure the application produces all reports required by the local department, finance teams; operational leaders or mandatory or statutory requirements • Ensure Principal Trainers, aligned to your team, are aware of build development changes and in turn assure this information informs the build of the training materials; • Be responsible for your team’s progress, working autonomously when required or in a team to plan and organize workload to meet multiple and often conflicting deadlines; • Initiate, arrange, chair and/or participate in meetings between senior Trust clinical and operational leaders and/or clinical systems colleagues to discuss workflows and/or areas of concern; • Build action plans to document concerns/challenges and provide options back to the clinical and operational leaders for discussion; • Demonstrate/present highly complex build work in an easy-to-understand format to individuals and/or large groups of clinical systems and/or Trust staff, including at senior and director level; • Regularly undertake surveys, audits or research to support the monitoring and implementation of the designated application; • Ensure end-users are given the appropriate levels of access and security to the EHR systems as defined by their job role; • Build test scripts against patient scenarios across pathways and interfaces to other systems in accordance with the Testing & Release Manager’s instructions; • Analyse and review test progress and variances to define recommendations to maintain schedules and raise any risks or issues highlighted through testing to the appropriate level; • Meet regularly with the MIO for Critical Care, negotiate with, review and prioritise the scope of the applications/infrastructure in accordance with team plans; • Ensure that all generated documentation from your team is fit for purpose, accepted and retained in line with Programme Management Office processes; • Input highly complex data into spreadsheets, Word documents or PowerPoint presentations, ensuring accuracy and adhering to agreed style guides/templates; Communications: • Communicate with Epic implementation staff on a regular basis to agree design and implementation plans; • Provide highly complex, at times sensitive or contentious information to team members which may create barriers to acceptance by Trust staff, overcome those barriers by using your high level of interpersonal skills. • Using your knowledge and expertise you are responsible for giving/presenting information to often antagonistic or hostile audiences to guide decision making processes; • Create and distribute communications and tasks from suppliers to team members as appropriate to their role; • Take personal responsibility to create productive working relationships with all colleagues across the Clinical Systems and wider DT&I teams • Create good working relationships between all members of the team and key stakeholders; • Provide detailed statistics and analysis on the designated team’s progress, issues and problems on a daily/weekly/monthly basis • Meet regularly with relevant Divisional Directors and Heads of Clinical Service to review progress and assure design and delivery; • Demonstrate/present highly complex build work in an easy-to-understand format to individuals and/or large groups of clinical systems and/or Trust staff, including at senior and director level. Analysis and Judgement: • Become an expert in the designated module to assist the analysts and wider team with troubleshooting problems and addressing questions from end users regarding the application; • Ensure that the Epic system is configured to meet new ‘best practice’ ways of working, in order to achieve cost-saving benefits and improved workflow processes, whilst working to relevant legal and regulatory frameworks; • Make judgements on how to design and implement core configuration within Epic; • Trouble shoot, determine root cause and provide system solutions for assigned modules; • Utilize expert knowledge and experience of workflows and processes to develop pathways and new processes to support the configuration and implementation of the designated applications which will impact on working practices across the Trust; • Analyse and document highly complex clinical and administrative workflows, information, data collection and/or reporting requirements; • Analyse and review test activity, progress and variances to define recommendations to maintain schedules and raise any risks or issues highlighted through testing to the appropriate level whilst ensuring thorough tracking of data; Planning: • Work with the designated managers and teams, using PRINCE2 principles, to ensure your team meets deadlines; • Work with the leads, Epic and other stakeholders to formulate and document the core plans for your subject area; • Review and amend allocated elements of the plans and provide updates to your teams and the wider clinical systems team • Work with the other Senior Analysts to regularly risk assesses progress on the assigned modules, respond to, and escalate, issues as appropriate. Policy and service development · Overall responsibility for the design of the subject area modules aligned with clinical and operational needs · Development of procedures and practices which will impact across whole organisations including: • Establishing Standard Operating Procedures that meet national standards for the way in which the assigned applications will be used • Interpreting policies for day-to-day operational processes and ensure staff adhere to them. Management responsibility • Take responsibility for the recruitment of the team ensuring the right skills and experience are evidenced to ensure expertise in present in the team; • Use conflict resolution strategies in response to barriers of understanding or acceptance faced by or from the configuration teams and/or wider Trust audience; • Handle change management issues professionally and sometimes in hostile or antagonistic situations; • Responsible for leadership and guidance for team to ensure development of work- packages; • Responsible for appraisal and performance management of all team members; • Lead the training and ongoing development of the team to ensure Epic accreditation is maintained and skills are development; • Ensure that the work of the team conforms to the design integrity for the designated applications Information • Ensure quality is excellent with both internal and external documentation relating to workflows/work processes; • Take responsibility for adapting work processes to meet the needs of the clinical and operational services; • Document outcomes from workshops ensuring that appropriate action plans are put in place to resolve open issues; • Put in place appropriate information systems to capture configuration requirements and data; • Investigate end users’ preferences and populate databases as part of the configuration process; • Take responsibility for your team for data quality and ensure all data, both written and electronic, is recorded accurately and in a timely manner; • Work with team managers and leaders to ensure that appropriate performance monitoring data can be provided to evidence progress in your team; Research & Audit • Ensure all configuration within your team meets the needs of the Research and Development requirements for the future business intelligence requirements; • Develop highly specialist configuration knowledge and audits for your designated application areas; • Accredited Epic technical competence will need to be maintained within your team; • To work closely with the Test & Release Manager and other Senior Analysts in the introduction of standard procedures and documentation for the testing of the EHR system and provide support to the testing team, for system upgrades and change releases; • Regularly undertake surveys, audits and/or research to support the monitoring and implementation of the designated application; Level of supervision • Overall responsibility for your subject area working autonomously to plan and organise workload to meet multiple and often conflicting deadlines; • Work in a complex and unstructured multi-disciplinary environment; be able to act with minimum guidelines and set standards for other; • Direct reporting on progress to managers and leaders within Critical Care.
