Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions.
Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients.

Job overview
We are looking for an enthusiastic Senior Research Administrator with experience in cardiovascular research. The post holder must have previous experience of working within Cardiovascular Research. The post holder will have a central role in supporting the delivery and quality management of the Research within the Cardiovascular Department to ensure studies are delivered both to time, within budget constraints and targets. They will work closely with the Research Matron but will be required to manage their personal workload and that of the administrative team, and be able to work autonomously as required.
The role will require the individual to interact with a multidisciplinary team in a very busy office environment often requiring appropriate judgements to be made under minimal supervision. The ability to plan and prioritise workloads to meet essential deadlines and proactively manage the responsibilities of this position is a prerequisite for anyone wishing to apply for this role. The successful individual will be dynamic, have excellent communication and interpersonal skills, as well as an ability to work independently and flexibly.
Main duties of the job
The post holder will support the delivery and quality management of the Research within Cardiovascular to ensure studies are delivered both to time and within budget constraints and target. The post holder will be required to manage their personal workload and that of the administrative team, and will be able to work autonomously as required.
Operationally, the post holder will ensure the Trust has appropriate systems and processes in place to meet the external and internal requirements to deliver the research studies (for example external eCRF programmes), and will oversee the transfer and reconciliation of information between internal Trust IT systems and such organisations. The post holder will maintain and prepare audits as required to demonstrate the delivery team’s effectiveness.
The post holder will be responsible for the admin teams to support delivery teams to ensure the successful implementation and management of clinical studies and clinical trials. The post holder will work with the chief or principal investigators, R&D Leads and Research Matron to support the set up and delivery of the relevant studies. The post holder will ensure that internal and external matrix are kept up to date in a timely manner and in accordance with all applicable regulatory requirements.

Detailed job description and main responsibilities
1. Duties and Responsibilities
The core responsibility of this post will be to ensure administrative support for Cardiovascular Research is delivered effectively and efficiently by their team and that the quality of these studies is regularly evaluated and reviewed with best practice shared across the organisation and remedial action taken where outcomes are sub-optimal. The post holder will also manage day-to-day finance activities for selected projects.
Operational:
· oversee and manage the operational delivery of Cardiovascular Research Studies including:
· liaison with Chief investigators and Principle Investigators within the Trust for Sponsor led studies;
· liaison and collaboration with Research Fellows, Nurses and Practitioners in relation recruitment and induction and ensuring effective onboarding processes are developed and consolidated;
· Monitor where appropriate external governance compliance from HRA, REC, MHRA and R&D create best practice to ensure requirements are met
· Oversee delivery of conferences, meetings & training events including remote and e-learning
· Organisation and reporting of PPI/E meetings;
· Administrative support for Cardiovascular researchers including supporting of out of programme and locally employed doctors
· Play a key role in ensuring all equipment used at the Trust for Cardiovascular research meets IG/IT and MEMS quality requirements and provide administrative support to clinical departments where needed.
· Seek out best practice local inductions through internal and external research and ensure that best practice techniques are utilised within the Trust
Information and Financial Management
In liaison with the Research Matron, the post holder will ensure that information management systems and processes are optimised to ensure accurate and timely recording, interrogation and reporting of study budgets and forecasts.
This will require:
Working with colleagues within and without the team for regular review of systems and processes in order to improve and where necessary replace;
Ensure that data contributors and managers are appropriately trained.
The post holder will monitor and report specific budgets periodically, liaising with Finance colleagues and Grant Holders to ensure currency and accuracy of data.

Following the Trust’s Standing Financial Instructions and using the appropriate systems, procure and/or authorise good and services budget limits
Project Management and Service Improvement
· Support long term planning for the delivery of Cardiovascular research, leading on the operational day to day administration requirements to run the multiple studies, including assessing and adjust short and long-term plans accordingly;
· Contribution to Directorate and Trust-wide improvement projects
· Ensure service changes meet internal and external expectations and standards
· To act as an advocate of change and modernisation in support of the Trust and Cardiovascular Research
· Responsible for the development of service improvements and policy implementation across support services for Cardiovascular Research
· Supporting the department for audit and service evaluations as required to demonstrate the team’s workflow and output
Engagement and Communications
· Manage, motivate, persuade and influence multiple stakeholders and partners to ensure timely completion of work across the studies as required
· Provide papers, briefings and plans for discussion and implementation of studies as required for departmental meetings and beyond
· Presentation and communication to senior management and stakeholders of project timelines, updates and milestones
· Develop robust relationships with R&D to influence, challenge and support achievement of the regulations to ensure studies are completed on time to target and within budget.
· Provision of complex and at times contentious information regarding standards and compliance
· Ability to influence and shape change where there may be barriers to acceptance
· Delivery of training programmes
Staff Management
Management of administrative staff in the Cardiovascular Research team including sickness, absence, performance monitoring and recruitment of staff across the department.
Monitor compliance within the Directorate with Trust-wide staff management policies and procedures and take remedial action if appropriate.
R& D
To manage, design and develop the Trust Information Systems in relation to R&D. This will involve maintaining an accurate, reliable and up-to-date R&D database. Systems will be expected to generate / store data for the processes of both internal and external (DH) reporting.
Establish local information to link to the Trust Commercial R&D databases
Ensure the teams integrates with proposed NHS IT systems.
Play a key role in how the Trust responds to the management and development of Comprehensive Research Networks.
