St Thomas’ has one of the largest critical care units in the UK and one of the busiest emergency departments in London. It is also home to Evelina London Children’s Hospital. Evelina London cares for local children in Lambeth and Southwark and provides specialist services across south east England including cardiac, renal and critical care services. We lead a number of specialist service networks aiming to ensure children are treated locally where possible, but have access to specialist expertise when they need it. Our community services include health visiting, school nursing and support for families of children with long-term conditions. Our adult community services teams deliver care at the heart of the local communities we serve, working in partnership with GPs, local authorities and other healthcare and voluntary sector organisations. Working with our partners in Lambeth and Southwark, we are focusing on new ways of working to improve care for local patients. In February 2021 the Royal Brompton and Harefield joined Guy’s and St Thomas’ NHS Foundation Trust, bringing together world-leading expertise in the care and research of heart and lung disease. Job overview This is an exciting opportunity for an enthusiastic and motivated individual to join the busy plastic surgery team based in the Hand Trauma Unit at St Thomas' Hospital and in Becket House. We are one of the largest plastic surgery departments in the UK providing clinics in both our hospitals and other local hospitals. We are a busy surgical department covering breast, skin, head and neck, lower limb and hand firms; dealing with cancer, trauma and elective services. This vacancy is based in our busy Hand Trauma Unit and the Centralised Outpatient Centre. Main duties of the job The post holder will lead a team of administrators to provide a high quality administrative support service to the department including PA support to named individuals. The post will provide a broad range of support activities to ongoing and fixed-term projects within the department and will ensure the smooth running of the service and effective internal and external liaison to contribute to the successful running of the office as a whole. The role will require the individual to interact with a multi-disciplinary team in a very busy office environment, dealing with highly complex and sensitive issues, often requiring appropriate judgements to be made under minimal supervision. The following attributes are required: Provide administrative support within the service, including cross cover for administrative team members as required, including deputising for the Assistant Service Manager for short periods of time. Providing support, supervision and leadership to the Band 3 administrators. Provide advice and support to new or less experienced employees on own administrative duties. Maintain departmental databases in a timely and accurate manner. Assist with the collation of data as required. Undertake any other reasonable duties necessary to ensure the smooth running of the service. Supporting the ASM and the SM with ad hoc tasks Managing the Hand Trauma reception rota, sickness, organising absences, as well as other relevant formal procedures. Working for our organisation The Plastic Surgery Department is a unit formed of 32 consultants, divided into varying sub-specialities, including Hands, Breast/Micro, Skin and Paediatrics. The department covers all sites within Guy’s and St Thomas’ NHS Foundation Trust as well as providing support to external trusts. The Hand Trauma Unit is the centre for Hand Trauma in South London. Detailed job description and main responsibilities Main Responsibilities Lead the provision of a high quality, comprehensive and efficient administrative service. Demonstrate the ability to multi-task, be highly organised, adaptable, motivated, reliable, willing and able take personal responsibility. Be proactive with a “can do” attitude and a commitment to high quality performance. Act as the first point of call for a wide range of staff i.e. Clinicians, Nurses, and administrative colleagues, as well as third parties. Responsible for the day-to-day management of the hand trauma team and ensure that that staff are managed in line with Trust Policies (recording annual leave, sickness and other leave ) Review and report on the hand trauma staff performance, working with individuals to set clear standards and objectives, identifying training and development needs as well as performance/conduct issues as appropriate. Provide administrative support within the service, including cross cover for administrative team members as required. Motivate and support staff so that they understand the objectives of the service within which they work and are able to maximise their contribution to the highest standard of patient care. Maintain departmental databases in a timely and accurate manner. Assist with the distribution of data within the team as required. Prepare and produce reports/spreadsheets and other documents as requested. Support in the implementation of projects, with minimal supervision to agreed goals and agreed timescales. Undertake any other reasonable duties necessary to ensure the smooth running of the service. Person specification Qualifications/ Education Essential criteria Good general education with English and Maths to GCSE standard or equivalent Educated to diploma level or NVQ 3, City and Guilds certificate level in business administration or equivalent Evidence of some formal further training in short courses, experience of a range of admin practices and with significant experience of healthcare administration Desirable criteria Customer service qualification / training Experience Essential criteria Extensive business administration experience which demonstrates the understanding of the key functions to providing an admin support service Experience working in a customer service setting Experience in leading a team Skills/ Knowledge/ Ability Essential criteria Proficient in use of IT systems and applications, including Microsoft Word, Outlook and Excel Ability to work as part of a team as well as using own initiative Excellent organisational skills and attention to detail Confidence in making decisions when dealing with competing priorities Ability to handle confidential and sensitive information appropriately Ability to develop and maintain good working relationships with all levels of staff Ability to work methodically in a busy environment and meet deadlines Desirable criteria Proficient in use of Trust application: EPIC Knowledge of the key waiting times targets including 18 weeks Guy’s and St Thomas’ celebrates, respects and values the diversity of its staff and patients.
