About the Role
This is an ideal development opportunity for an experienced Executive Assistant to support Metropolitan Thames Valley Housing’s Executive Office. You will provide administrative, secretarial, and project support to the Executive Assistant to the CEO and the Chief Executive. Often acting as the first point of contact for other Directors, Senior Management, and external stakeholders, you will play a key role in facilitating and accurately minute-taking Executive Team meetings and managing related actions to ensure governance compliance.
Key responsibilities include:
- Providing day-to-day administrative and secretarial services to the CEO and EA, prioritising tasks appropriately.
- Servicing Executive Team meetings by drafting agendas alongside the CEO and other Executive Directors, collating reports and papers, distributing materials, minute-taking, and preparing minutes for CEO review.
- Managing the action log, liaising with other EAs to prioritise actions and reflect deadlines in Executive Directors’ calendars.
- Handling diary management and travel arrangements for the CEO and Chair.
- Managing the CEO’s email inbox effectively, ensuring timely responses and delegation.
- Drafting correspondence for CEO approval.
- Liaising with the Chair and Board members.
- Processing invoices, procurement requests, and other financial transactions related to the CEO Office.
- Coordinating executive team events and communications.
- Liaising with external stakeholders including the Regulator, Government Agencies, and Members of Parliament.
- Referring MP and Councillors’ enquiries and customer complaints addressed to the CEO to appropriate teams.
This fixed-term 6-month contract has potential to extend.
Experience
Extensive experience supporting at Director level, with proven ability in accurate minute-taking and adept facilitation of meetings at the C-Suite level. Experience managing action logs and forward planners with precision. Previous experience in governance or compliance is a significant advantage. Knowledge of Social Housing is desirable.
About you
Excellent written and spoken English, highly numerate with the ability to interpret complex data. High levels of IT literacy including Word, Excel, PowerPoint, and Project. First-class time management skills with the ability to prioritise and delegate effectively, often to more senior colleagues. Strong communication skills and experience managing senior internal and external stakeholders. Ability to confidently navigate ambiguous situations while handling highly confidential and sensitive data.
